OVERVIEW: The Client Service Associate serves as the advisor's second chair, supporting client relationships through meeting participation, follow-up communication, workflow coordination, and operational execution. This role develops expertise in the firm's service model and works closely with advisors and team members to ensure an exceptional client experience. Key responsibilities include but not limited to: FINANCIAL PLANNING OPERATIONS: • Attend client and prospect meetings and document discussions, recommendations, and next steps. • Prepare meeting summaries and follow-up communications. • Coordinate and facilitate routine client service requests, ensuring completion of action items. • Maintain client records and workflow systems, ensuring data is accurate and up-to-date. • Schedule meetings and manage advisor calendars as needed. • Collaborate with team members to ensure service requests and information collection are completed accurately and promptly. • Escalate complex client concerns or planning matters to the Financial Advisor. • Coordinate with planning team to obtain information to develop financial plan and prepare recommendations. Assist in the preparation of all materials for plan presentation and account reviews, including: Financial plan Client statement Investment policy proposals/statements Risk product proposals and/or in-force illustrations Performance reports and marketing materials INSURANCE AND INVESTMENT OPERATIONS: • Track and manage open cases and workflow action items; ensure tasks are assigned, updated, and closed. • Coordinate with operations team to prepare paperwork for new policies/accounts, collecting eSignatures, and submitting required paperwork. • Track cases through underwriting/approval; act as liaison with carriers/custodians for requirements and provide timely internal status updates. • Assist with ongoing servicing, including policy maintenance, billing, and servicing, as well as routine account maintenance and cash movement needs. • Develop a strong understanding of the firm’s insurance and investment operations; pilot new programs and ensure compliance with firm, carrier, custodian, and regulatory standards. QUALIFICATIONS • Education: Bachelor’s degree required • License: Life and Health Insurance License or obtained within the first six months. • Registration: Securities Registration including SIE, Series 6 or 7, and Series 63 obtained within the first year. • Experience: Industry experience preferred. • Technical Proficiency: Mastery level proficiency, comfort, and efficiency with Microsoft O􀆯ice Suite.
