Establish work priorities and schedules for recurring administrative activities, including supply orders, equipment servicing, record updates, and reporting deadlines. Coordinate the purchase of operating supplies and services; communicate with suppliers regarding quotations, orders, deliveries, shortages, and service issues. Maintain inventory records and monitor stock levels of supplies and materials required for business operations. Coordinate equipment maintenance and repair services with external service providers; maintain maintenance records and follow up on outstanding service requests. Collect and organize production, transaction, expense, inventory, and maintenance information and prepare periodic operational and administrative reports for the Owner and Manager. Maintain administrative filing and control systems for invoices, supplier records, service records, internal forms, and other business documentation. Maintain employee administrative records, attendance and training documentation, and coordinate paperwork related to recruitment and onboarding. Coordinate administrative communication and follow-up among the Owner, Manager, employees, suppliers, and external service providers. Review routine administrative processes and recommend practical improvements to record keeping, purchasing, scheduling, and administrative workflow.Employment RequirementsCompletion of secondary school is required. Post-secondary education in business administration, office administration, or a related field is an asset. Previous experience in a senior clerical, administrative, or office coordination position related to office administration is required.
