Reporting to the Manager, Student Recruitment the Coordinator, Student Recruitment plays a key role in supporting student recruitment agencies, networks, and partners who contribute to the university in accomplishing its strategic enrolment goals. The Coordinator supports student recruitment programs and services that welcome domestic and international learners in Ontario and Canada. The Coordinator represents OCAD U at various recruitment functions, in-person and virtually, and develops communication materials to provide information and counselling to future OCAD U students. Summary Of Responsibilities Support the Manager, Student Recruitment and Manager, Business Strategy in international recruitment initiatives by overseeing agent partnerships, including responding to inquiries, onboarding and training, and maintaining stakeholder relationships. Support the Manager, Student Recruitment and Manager, Business Strategy in agent-related recruitment initiatives, including managing inquiries, supporting contract negotiations and developing and monitoring terms and conditions Coordinate and administer the annual agent evaluation and assessment surveys to drive evidence-based decision-making that strengthens recruitment goals, priorities and outcomes Oversee the coordination and execution of familiarization (FAM) tours and fly-in events for international agents and recruitment partners to strengthen relationships and support recruitment efforts Provide one-to-one advising and respond to telephone, email, virtual, and in-person inquiries from prospective students, parents/guardians, and educators, offering timely, accurate, and accessible information about OCAD U's programs, admissions requirements, portfolio preparation, and application process. Work with the Lead, National Student Recruitment, to plan, coordinate, and participate in, student recruitment initiatives and events, both in-person and virtual, including school visits, portfolio reviews, information sessions, program events, and liaison workshops Represent OCAD U at various virtual and in-person recruitment events (e.g. high school visits, presentations and panels, university/pathways fairs, portfolio reviews etc.) across Ontario, Canada, and internationally, providing prospective students with all necessary information about the University (e.g. admissions information, academic entrance requirements, portfolio building support, scholarship information, campus and Toronto life, etc.) Support the Lead, National Student Recruitment in expanding and executing recruitment strategies for the onshore international student population in Canada by leveraging partnership opportunities with local language schools through targeted recruitment outreach (campus tours, webinars, info sessions) Support and propose new student recruitment strategies for the University’s recruitment enrolment targets and objectives through data entry, research proposals, report writing, presentation building, content creation and administrative work Work collaboratively with the Admissions & Recruitment (A&R) team to plan and deliver recruitment events, engagement activities, and campus tours for prospective students, including Open House, Graduate Open House, National Portfolio Day, Grad Ex, graduate fairs, portfolio reviews, and other special initiatives that showcase the OCAD U experience and student life. Track, monitor and report on the effectiveness of undergraduate and graduate student recruitment activities, including recruitment visits and surveys, by recording, analyzing, and compiling data and reports through the Client Relationship Management (CRM) system Maintain and expand the database of departmental contacts, including high schools (teachers and counsellors), post-secondary institutions, recruitment agencies, and community or industry partners Ensure recruitment activities are aligned with established structures, policies, and service standards, while advancing diversity, equity, inclusivity, and accessibility (DEIA) across programs, services, and communications Represent OCAD U in various inter-university recruitment committees and networks (e.g. Ontario University General Committee Student Recruitment, Art & Design Universities Canada etc.) and maintain up-to-date knowledge of post-secondary student recruitment trends and practices as required Support overall A&R planning, events and communications for domestic and international students to support the university’s enrolment targets, objectives and strategic plan Qualifications Post-secondary degree or equivalent, preferably in fine art & design Three (3) years of progressive post-secondary student recruitment or student services experience Knowledge of Ontario, Canadian and international secondary and post-secondary school systems Excellent computer skills, including proficiency with Microsoft 365 and Adobe Creative Suit applications and the ability to create and maintain professional documents, forms, templates, and presentations Working knowledge of web management software and familiarity with CRM/database applications Ability to create accessible documents, PDFs and videos using Yuja Ability to host and provide technical support to online events Familiarity with databases, with a demonstrated ability to learn in-house programs and systems; working knowledge Client Relationship Management software (e.g. CRM Recruit) required A demonstrated strength and comfort with public speaking and an ability to present detailed information clearly and promote the university in a positive manner Demonstrated commitment to the principles of equity and diversity, and experience promoting a respectful work and learning environment for students, staff and faculty A demonstrated commitment to the needs and interests of a diverse population of potential students Proven judgment, diplomacy, tact and strong interpersonal as well as oral and written communication skills Excellent research and analytical skills, and demonstrated organization and attention to detail Proven ability to work independently and collaboratively while managing diverse priorities in a fast-paced environment Must be willing and able to travel, as required Possession of a valid Ontario G Class driver’s license required Flexibility in work hours; must be willing and able to work occasional evenings and weekends, as required This posting is for an existing vacancy. Mode of Work: Hybrid, 3 days per week Compensation: Hiring Range - $57,486.45 to $65,772.56 per annum, commensurate with experience, plus benefits; Salary Range - $57,486.45 to $75,566.13 per annum. Hours of Work: Monday to Friday, 35 hours per week, must be willing and able to work occasional evenings and weekends as required. This position is eligible for hybrid work arrangements; however, a minimum of three days per week of on-campus work is required, with flexibility to adjust on-campus days and hours to meet department needs. Occasional evening and weekend work will be required, with shift premiums applied in accordance with the Collective Agreement.
