POSITION OVERVIEW Are you detail-oriented with a knack for financial coordination and office administration? We are seeking a dedicated Program Financial Assistant to join our dynamic team. In this role, you'll play a crucial part in managing and overseeing financial tasks, ensuring data quality, and tracking sustained outcomes at key intervals (4, 24, and 52 weeks) to drive program success. Your responsibilities will also include providing essential backup support to both the Administrative Assistant and Client Services Representative positions. Reporting to the Program Manager, our selected candidate will be responsible for conducting 4, 24-, and 52-week follow-ups to ensure job sustainment documentation is accurately recorded in ICM. Key duties will include supporting team in providing job start supports and short-term training, coordination with service providers, processing payments for third parties, ordering and maintaining inventory for financial supplies like bus tickets, gas cards etc. The role involves reconciling sustained outcomes fees, processing orders and invoices from service providers, and completing program reports for COA and ministry inquiries. Additionally, the assistant provides backup to the Administrative Assistant and Client Services Representative by managing client interactions, scheduling, and maintaining records, while also supporting financial procedures, archiving files, and assisting with program health and safety tasks. QUALIFICATIONS The ideal candidate for this position should have a high school diploma, preferably with a post-secondary administrative certificate or diploma, and at least one year of experience in an administrative or bookkeeping role. Advanced skills in MS Office and internet are required, with ICM experience being a plus. The ideal candidate will be highly organized, capable of managing multiple tasks in a fast-paced environment, and possess a strong knowledge of employment services and community resources. Exceptional communication, listening skills, and a professional demeanor are essential, along with a strong commitment to confidentiality, flexibility, and teamwork. Experience with diverse clientele, sensitivity to cultural diversity, and proficiency in a second language or crisis line experience are advantageous. This role requires the incumbent to undergo a Police Information Check (PIC), and a Vulnerable Sector Check by the Ministry of Justice.
