Job summary
JOB SUMMARY: The HR & Benefit Manager is responsible for overseeing the administrative functions of the office, ensuring smooth operations, and supporting the Site Leader. This role involves handling financial transactions, payroll and supervising administrative staff. The HR & Benefit Manager plays a key role in promoting a positive working relationship with residents, families, and co-workers. This will may include all or some of the following responsibilities depending on the size of the home and may be combined with another role in the home . TYPICAL DUTIES AND RESPONSIBILITIES: Duties and Responsibilities may include all or some of the following responsibilities depending on the size of the home and may be combined with another Job Title if applicable. 1. Union-Related Tasks: • May assist with tracking union-related documentation and timelines (e.g., probation, grievances). • Supports communication logistics for union-related meetings or updates. • Ensures alignment with collective agreements when coaching may lead to discipline. • Oversees implementation of arbitration decisions and grievance resolutions. • Participates in strategic discussions on collective bargaining, grievance trends, and labour law updates. • Collaborates with the Director of Labour Relations and VP of Operations on union strategy. • Coordinates investigations into workplace incidents, including union grievances and disputes. • Ensures prompt reporting and resolution aligned with union protocols. 2. Payroll: o Maintain payroll information for new hires, terminations, and other payroll changes. o Input nursing hours and edit payroll time and attendance as required. o Process bi-weekly payroll, oversee all department payroll, review work hours, submit payroll to head office, and review pay slips. o Provide information and respond to all employee queries regarding payroll, benefits, and deductions. o Prepare payroll adjustments, necessary payroll info changes, and coordinate with the payroll department in head office. o Provide payroll support to all department managers. o Assist with troubleshooting issues with the finger scanner system for payroll. o Perform general clerical duties such as faxing, scanning, photocopying, data entry, and filing. 3. Administrative Support: o Provide administrative support to the Site Leader and other departments as needed. o Coordinate and implement quality improvement initiatives in collaboration with the Site Leader. o Participate in meetings, take minutes, and assist with training programs. o Manage discharge processes with health authorities. o Cover for other administrative duties as assigned o Perform other duties as assigned 4. Supervision: o Supervise administrative staff, including recruiting, training, and evaluating their performance. o Ensure compliance with company policies and procedures. 5. HR & Benefits Administration o Administers employee records and HR documentation, including personnel files, employment letters, and compliance records o Coordinates recruitment and onboarding processes, including postings, screening, interviews, offers, and new hire documentation o Supports workforce administration such as probation tracking, scheduling support, and employee correspondence o Manages benefits and retirement plans, including enrolments, updates, and liaison with benefits and RRSP providers o Oversees WCB claims administration, records management, and modified work coordination o Provides administrative support for union-related processes, including grievance tracking, investigations, and alignment with collective agreements o Maintains HR operational supports such as petty cash administration, forms management, archiving, and internal communications (e.g., newsletters) 6. Recruitment Process: • Postings internal and external •Responsible for collecting resumes and screening applicants • Set up interviews for department heads • Ensure appropriate interview questions are available • Participate in interview process to support department heads • Follow up accordingly with telephone calls for all interview candidates • Offer to candidates • Offer letters • Set up schedule for new employee 2 of 3 • Ensure all employee documents are completed and appropriately distributed QUALIFICATIONS AND EXPERIENCE: • be able to read, write legibly and speak English clearly • good computer skills and clerical skills are required • demonstrate good organizational skills, efficient work habits, and excellent social skills • high level of attention to detail • minimum of 2 years’ experience working in a business environment • experience working in Human Resources an asset • equivalences may be considered EQUIPMENT USED: Personal Computer, printer, telephone, photocopier, facsimile, and calculator. PHYSICAL DEMANDS: This position requires certain amount of standing and sitting. During the employee's normal routine, she/he may lift a maximum of 30lbs, * Must have a current Criminal record check with Vulnerable sector *
