Our estates practice is growing fast — we are building a system that supports multiple estate planning lawyers running 45 to 60 client sessions a month. We are hiring a Legal Administrative Assistant & Client Coordinator to be the client-facing engine of that team. What the role looks like: About half your day is on the phone: discovery calls with prospective clients, follow-up calls with people who attended a webinar or paused mid-decision, and appointment confirmations. The other half is file work: preparing estate planning documents, prepping and supporting signing appointments, and keeping client files clean. You report to our Estates Paralegal on file work, and our Office Operations Lead trains you and runs your onboarding. The two of you cross-train so each can cover the other’s vacation. Client calls and pipeline Run discovery calls with prospective estate planning clients (we train you on our process) Work the follow-up pipeline daily: webinar attendees, no-shows, and “let me think about it” leads and get them scheduled Answer client calls, book and confirm appointments, and send confirmation emails Monitor and respond to client text messages through our messaging platform Signings and file support Prepare, print, and support estate planning signing appointments — you are a familiar face in the room Prepare and format estate planning documents to firm standards under paralegal supervision Support probate files with document assembly, correspondence, and reporting Set up title searches and organize results Maintain clean, consistently named client files in our document system Webinar and office support Call registrants before our estate planning webinars to confirm attendance and answer basic questions Moderate the live chat during webinars and track attendee questions Coordinate post-webinar follow-up, gift delivery, and lead status tracking Cover reception, manage incoming mail, keep supplies stocked, and book rooms for signings What we are looking for A warm, confident phone manner — you put nervous clients at ease Comfort asking for the booking; a friendly nudge does not scare you Exceptional attention to detail — you catch the wrong middle name, the mismatched date, the missing initial Fast, accurate document production in Word and Google Workspace Reliability — you own your tasks and close loops without reminders Comfort learning new software; we use Clio, Lawmatics, Zoom, and AI tools daily Legal administrative assistant or paralegal training (Capilano, VCC, or equivalent) is an asset new graduates are welcome to apply Prior law firm, professional services, or sales experience is an asset, not a requirement What we offer Starting salary: $60,000 per year Benefits available after 3 months A structured 90-day onboarding with recorded training and direct mentorship from our paralegal team A modern firm that invests in technology and systems, including AI tools A collaborative team culture with real ownership of your work A growth path in a firm that promotes from within as it scales How to apply Send your resume and a short cover note to [email protected] with the subject line “Legal Administrative Assistant, [Your Name]”.
