We are expanding across the region and seeking a welcoming, detail-oriented Dental Administrator (Concierge) to join our front-of-house team. You will have the opportunity to be placed at one of our three modern clinics across Kitchener, Waterloo, or Cambridge. As the face and voice of our practice, you’ll set the tone for every patient experience from the moment they walk through our doors or contact our clinic. Role Details Position Type: Full-Time & Part-Time opportunities available Compensation: Competitive hourly wage (commensurate with experience) Schedule: Flexible availability required for Days, Evenings, and Weekends (Clinics operate 7 days a week with extended evening hours) Location: Dedicated placement at one clinic location within the KWC region (Kitchener, Waterloo, or Cambridge) What You’ll Be Doing Patient Hospitality & Check-In: Welcome patients warmly, manage daily check-ins/check-outs, and maintain a clean, vibrant reception environment. Scheduling & Appointment Management: Manage patient scheduling, optimize daily clinic flow, coordinate recall lists, and handle incoming phone calls, emails, and inquiries. Billing & Financial Processing: Process payments, submit electronic insurance claims, explain payment options or financing plans, and manage daily accounts receivable balances. Patient Communication: Follow up with patients regarding upcoming appointments, outstanding treatment plans, and post-appointment inquiries with empathy and clarity. Team Collaboration: Work closely with dentists, dental hygienists, and dental assistants to ensure seamless patient transitions and daily practice success. Who You Are Experience: 1+ years of dental administration, medical front-desk, or high-end hospitality/customer service experience preferred. Software Knowledge: Familiarity with dental practice management software (e.g., ClearDent, Dentrix, AbelDent) is a strong asset. Communication Skills: Excellent verbal and written communication skills with a professional, empathetic phone manner. Administrative Skills: Strong multi-tasking abilities, attention to detail, and comfort with digital technology and billing processes. Availability: Willingness to work flexible shifts including evenings and weekends to support extended practice operating hours. What Makes Passion Dental Group Different?
