Peterson is seeking a Rental Office Administrator to join the team at Langara Gardens in Vancouver for a one-year contract opportunity. In this role, you will provide clerical, leasing, and administrative support for the day-to-day operations of the rental office, while acting as a key point of contact for residents, prospective tenants, visitors, and employees. You will support reception and tenant services, assist with suite showings and leasing activities, prepare tenancy documentation and tenant communications, maintain accurate records in Yardi, RentCafe, and other systems, and help ensure the rental office runs smoothly and professionally. Weekend coverage may be required during busy periods, including peak leasing and month-end operational periods. This position is ideal for an organized, service-oriented administrator who enjoys working with people, managing competing priorities, and contributing to a positive residential community. Key Responsibilities * Welcome and assist walk-in visitors, tenants, and employees in a friendly, respectful, and professional manner. * Answer and direct incoming calls on a multi-line phone system, ensuring timely and accurate responses. * Provide quality customer service and tenant relations by responding to inquiries, addressing service requests, and escalating concerns when necessary. * Show vacant suites to prospective tenants and provide basic rental information as directed by the Rental Office Manager or Property Manager. * Provide leasing support, including suite showings and related leasing activities, as part of the day-to-day operations of the rental office. * Prepare and process correspondence, tenancy agreements and addendums, parking and locker agreements, notices, forms, move-in/move-out documentation, monthly reports, traffic reports, memos, welcome packages, and other materials. * Enter and maintain information in Yardi, RentCafe, and other systems as required, ensuring records are accurate, complete, and up to date. * Support office administration, including filing, tenant records, rental applications, mail and deliveries, office supplies, meeting room bookings, minor bookkeeping items, security deposit returns, and tenant/community events. What You Bring * 2–3 years of customer service experience, with the ability to multitask, prioritize, and respond with professionalism and tact. * Ability to work a flexible schedule, including weekend coverage during busy periods. * Administrative experience, including phones, records, invoices, and office coordination. * Strong organization, attention to detail, communication, and relationship-building skills. * Discretion, confidentiality, and sound judgment when handling sensitive information. * Proficiency in Microsoft Office; Yardi, RentCafe, or property management software experience is an asset. * High school diploma; related post-secondary education is an asset.
