Job summary
This position uses a variety of standard problem-solving techniques with the ability to coordinate inter-disciplinary activities. This position assists the project team in carrying out interdepartmental administrative tasks. Day-to-day activities vary depending on the timing and complexity of the project. The Engineering Administrator is responsible for assignments that typically require advanced computer skills in word processing, spreadsheet, PDF, and database software. Duties and Responsibilities * Work on a project team to assist project engineers with assigned tasks and project deliverables. * Serve as communication channel between various internal and external stakeholders including but not limited to procurement, shop/warehouse, shipping/receiving, accounting, site, vendors, and clients. * Prepare data and reports for the project manager, including but not limited to monthly reports, minutes of meeting, RFI management, and DCN logging and tracking. * Update and edit engineering and project documents including but not limited to bid evaluations and RFQ support, data sheets, stick file management, valve & instrument counts, and documentation reviews. * Creation and releasing of bills of materials in Visual Manufacturing system. * Administration of expenses, invoices, timesheets, as well as field ticket validation. * Assist with travel arrangements when necessary. * Organization and co-ordination of final project documentation. * Compile, file, print, and scan large volumes of documentation. * Conduct quality checks of electronic files. Prerequisites Education * High School Diploma * Completion of post‐secondary education in Office Administration would be considered beneficial * Experience in a technical working environment would be considered beneficial Experience * 3+ years’ office administration experience * Previous engineering and project administration experience an asset * Working knowledge in ERP system would be considered beneficial * Skilled with the Microsoft Office suite of programs * Familiarity with Bluebeam Revu software an asset * Basic accounting experience an asset Other * As a condition of employment, employees are required upon hire to sign a Drug-Free Workplace Agreement, a Conflict of Interest Agreement, and Confidentiality and Invention Agreement.
