The Position: As a member of the leadership team at QNU, the role of Property Manager is key to the success of the property management and facilities departments of the company, with responsibility for day-to-day oversight, approvals and direction. This role is responsible for planning and implementation property maintenance and administration programs and ensuring overall property integrity and success. Working within the established vision for the company, and the policies for our approach to property management, the Property Manager must be a motivator and a great leader for the team. QNU's Property Manager is an experienced property management professional, capable of leading the property management teams, and ensuring effective and efficient property operations and administration. The role works closely with the facilities department, maintaining a physical presence on site at all properties with regular site inspections and joins the property management team in various meetings with tenants and contractors. As a conduit to the executive team, the Property Manager maintains clear and up-to-date understanding of all operations at all properties and reports weekly to the President. Portfolio: Lonsdale Quay Market Shipyards Tsawwassen Quay Market Nanaimo Quay Market East 4th Avenue Position Responsibilities and Accountabilities: Operations Provide support and direction on operations and administration of all properties in portfolio, using all reasonable efforts to manage, repair and maintain the properties in efficient and satisfactory manners that maximize the cash flow from the property. Weekly, bi-weekly or monthly site inspections of all properties following pre-set schedule, reviewing property condition, and building rapport with tenants. With property team, oversee and instruct onsite personnel engaged in the maintenance or improvement of the building. Review contracts on an ongoing basis (annually) and oversee reconciliation and tendering for all contracts annually. Construction Coordinate all onsite construction activities, as it relates to all tenant improvements and landlord's work. Administration Oversee all administrative functions of property operations, ensuring flow of information is efficient and effective. Deliver detailed reporting packages to the Executive Team monthly, or as required. Financial Review all purchase orders, and review and approve all payable invoices. Review accounts receivable on a weekly and daily basis for all properties, ensure appropriate follow up as necessary. Manage operating costs and budgets, coordinating service contracts, ensuring work orders, renovations and capital projects are completed within budget. Report monthly on financial statements and budgets, with analysis and explanation for variances. Preparing annual operating budgets, and capital expense plans. Occupational Health & Safety Manage OH&S programs for all properties, implemented by Property Coordinator. Tenant Liaising Act as tenant liaison for all aspects of sales reporting and day-to-day operational activities. Stakeholder Liaison Maintain regular communication and reporting with all stakeholders, ensuring stakeholders' needs are met and exceeded. Current stakeholders include: BC Ferries, City of North Vancouver. Leasing & Lease Documentation Lead all leasing initiatives for all portfolio properties. Primary contact for external leasing brokers. Review all lease documentation (offers, leases, renewals, assignments, etc.), produced by the Project Coordinator. Conduct rental analysis of tenant performance in advance of lease renewal dates and meet with tenant and President to review. Marketing & Event Support Work closely with the Marketing Department and Event Planning to review communications reports, identifying any potential impact on operations, in required involvement. Ensure communications and event setups are completed as per service requests, seven days per week. Liaise with Event Planning to advise on event setup needs, directing Property Coordinator and Maintenance Supervisor. Attend appropriate industry and networking functions, representing company in professional manner. Team Leadership Oversee all members of operations department, with direct supervision of Property Coordinator and Maintenance Supervisor. Daily check-ins with all direct reports, and other department managers as required. Provide general oversight and support to property staff, within your portfolio. Monitor staff scheduling, vacation requests, office hours, site visits. Conduct performance reviews for all department staff, and work with team members to establish and maintain growth plans. Ensure Occupational Health & Safety programs are in place and followed regularly. Time Breakdown: 50% Operations, Construction, Administration, Financial 10% Marketing Department Support, Occupational Health & Safety 20% Tenant Liaising and Stakeholder Services 15% Leasing and Lease Documentation 5% Leadership The Requirements: Minimum 5 years' real estate experience in commercial property management, development, or a related field, with a track record of successful and profitable operations Minimum 2+ years of supervisory experience in commercial property management Strong understanding of property operations, building systems, property accounting, and lease administration/language Excellent interpersonal and leadership skills, with the ability to communicate effectively across departments, trades, and contractors Outstanding organizational and time management skills Analytical mindset with a problem-solving orientation Proficiency in Microsoft Office suite Flexible, adaptable, and willing to do what it takes to get the job done Why should you apply?
