Job summary
The Opportunity Our clients are well-established, highly regarded Toronto organizations, and each is seeking a Strategic Executive Assistant to join a busy team. This role supports multiple senior leaders and carries genuine strategic weight. Key Responsibilities Executive & Calendar Support — Manage schedules, priorities, and the flow of information across the firm. Own complex, high-volume calendars across multiple executives and time zones, resolving conflicts and making prioritization calls independently. Correspondence & Liaison — Draft correspondence in the executive's voice, and serve as the primary point of contact. Meeting Preparation — Compile agendas, briefing notes, and presentation materials so executives arrive prepared. Capture notes and drive follow-up items to closure. Travel Management — Own domestic and international travel end to end, anticipating needs and building efficient itineraries. Handle logistics, reservations, and contingency plans so travel stays productive when flights fall apart. Expense Management — Run expense reporting end to end in Concur for senior leaders: policy compliance, accurate coding, and prompt reimbursement. Discretion — Treat confidential material with integrity, keeping leaders informed and prepared at every turn. Proactive Problem-Solving — Anticipate obstacles, spot efficiencies, and resolve issues before they escalate. Contribute to improving administrative processes and workflows, and provide dependable cross-team support. Requirements 3-5 years supporting C-suite and/or senior leadership in a demanding professional environment, ideally more than one executive simultaneously. Experience working in a fast-paced environment handling confidential matters. Outstanding organizational skills, with the instinct to see what's needed before being asked and prioritizing tasks effectively. Demonstrated proficiency with Concur and Microsoft Office. Ability to prioritize and handle sensitive information carefully, and the ability to get up to speed quickly when things move.
