Job summary
Job Description What is the opportunity? The Executive Assistant is a key member of the global Corporate Communications team directly supporting the Vice President, Wealth Management and Insurance Communications and Vice President, Technology & Operations and AI Group Communications. Key accountabilities include VP schedule management, team calendar management, onboarding support, coordinating real estate and technology support services, preparing expense claims, managing travel arrangements, supporting team meeting and engagement activities, and facilitating the efficient sharing of information across teams. The EA operates with high degree of confidentiality and accuracy within a fast-paced environment. What will do you? Coordinate and maintain the VPs’ calendars, responding and helping prioritize as appropriate. Coordinate logistics and organization of meetings and team events. Provide post-meeting support as needed. Manage the VPs’ records and business expenses, and ensure invoices and bills are promptly paid; prepare and approve expenses according to delegated authorities. Coordinate arrangements for employee changes and onboarding plans for new hires, including equipment and premises requirements and ensuring adherence policies and procedures. Manage travel arrangements including itinerary where needed; ensuring seamless travel and efficient use of budgeting and resources. Maintain team calendars, SharePoint sites and generally facilitate the efficient sharing of information across the teams. Collaborate with Brand, Marketing, Communications & Citizenship EAs on other cross-team initiatives. What do you need to succeed? Must Have 3+ years of Executive or Administrative support experience supporting senior leadership. High proficiency in MS Office (Word, PowerPoint, Excel, Outlook); Intranet and Internet navigating and research skills. Strong organizational skills and attention to detail; an ability to multi-task and prioritize. Strong interpersonal relationship skills in liaising with various levels of staff, including senior management and executives. Sound judgement and discretion, problem-solving skills and resourcefulness. Ability to anticipate needs and flag questions or opportunities. Strong communication skills, both written and oral. Enjoys working in a fast-paced environment as a team player. Nice to Have Related experience within a matrixed corporate environment. Familiarity with AI tools and an interest in applying it professionally. Event planning and execution experience.
