The Opportunity This role sits at the center of everything: client engagements, partner support, and firm operations all pass through the Client Services Coordinator. You'll make sure engagements move efficiently from onboarding through completion, while giving our partners and team the administrative backbone they need to focus on clients, not paperwork. What You'll Do • Coordinate client onboarding and engagement administration using Ignition and other firm software. • Monitor our workflow software (Xero Practice Manager) and keep engagements moving efficiently through the firm. • Own the administrative side of the client lifecycle — from the first engagement letter to the final locked tax file. • Coordinate client communications, appointments, and document requests, and keep our digital client files accurate and current. • Support partners with engagement administration, billing preparation, and personal tax season logistics. • Maintain workflow templates, checklists, and standard operating procedures — and help us test and roll out new ones. • Use (and keep learning) AI tools to find smarter, faster ways of getting the work done. • Coordinate internal meetings, travel, and team events, and keep our internal documentation up to date. What You'll Bring • 3+ years of administrative, office coordination, or client service experience. • Excellent written and verbal communication skills. • Strong organizational skills with real attention to detail — you catch the things others miss. • Self-motivation and comfort working independently in a fully remote environment. • Proficiency with Microsoft 365 and cloud-based applications. • Curiosity and a genuine willingness to learn emerging AI tools. Professional services or CPA firm experience is an asset, but not required — we're just as interested in how you think and work as in what's on your resume.
