Our client, a privately held group of companies, is seeking an experienced Senior Executive Assistant to provide high-level support to the President across a diverse portfolio of business interests. This is a pivotal, high-trust role for a polished professional who brings excellent judgment, discretion, and a proactive approach to executive support. The successful candidate will act as a key partner to the President, helping manage communications, priorities, projects, and day-to-day business matters across multiple entities. This opportunity is ideal for someone who has progressed beyond a traditional administrative role and is comfortable operating as a true extension of the executive office. The right individual will be highly organized, resourceful, and capable of navigating a fast-moving environment with competing priorities and a wide range of stakeholders. Responsibilities Provide senior-level executive support to the President across multiple business entities Manage the flow of information, approvals, requests, and follow-up items Anticipate executive needs and proactively identify matters requiring attention Prepare correspondence, reports, presentations, meeting materials, and other business documentation Track commitments, deadlines, decisions, and outstanding action items to ensure timely follow-through Liaise professionally with internal teams, external vendors, consultants, and professional advisors Assist with coordination of day-to-day operational and administrative matters across the organization Conduct research, gather information, and prepare clear summaries and recommendations to support decision-making Coordinate projects and special initiatives with minimal supervision Support internal communication and follow-up related to assignments, deadlines, and reporting requirements Assist with onboarding coordination, employee documentation, and administrative HR support as needed Maintain organized records related to contracts, licences, insurance, permits, renewals, and corporate documentation Help identify opportunities to improve systems, reporting, and administrative processes Handle sensitive corporate and employee information with a high degree of confidentiality Qualifications 5+ years of experience in an Executive Assistant, Senior Administrative, Executive Business Partner, or similar high-level support role Demonstrated experience supporting a President, CEO, owner, principal, or other senior executive Experience in a privately held, entrepreneurial, real estate, professional services, or otherwise operationally complex environment is strongly preferred Exceptional organizational and time-management skills with the ability to manage multiple priorities Strong written and verbal communication skills Proven ability to exercise sound judgment, maintain confidentiality, and work independently Strong analytical, research, and problem-solving abilities Advanced proficiency in Microsoft Office, including Outlook, Word, and Excel Professional presence and the ability to communicate effectively with stakeholders at all levels Why This Role This is an excellent opportunity for a seasoned executive support professional seeking a meaningful and visible role within a dynamic private organization.
