Assignment Types: Project Leasing · Tenant Representation · Renewals & Lease Optimization · Commercial Investment/Property Sale · Commercial/Mixed-Use Land Sale · Strata Commercial ROLE OVERVIEW The Broker Coordinator will provide exceptional internal sales support to assigned brokers or brokerage teams and their clients through efficient and high-quality administrative and general support services. This position enables an individual with aspirations to become a Broker to gain the skills and experience necessary for a career in commercial real estate. The ideal candidate is licensed or enrolled to become licensed and will work alongside experienced Broker(s) in the leasing, sale, and marketing of retail-oriented space. KEY RESPONSIBILITIES Proposals & Presentations Assist in the preparation and coordination of listing pitches, presentations, and proposals (RFIs and RFPs) under the standards and guidance of Sitings and its Marketing Division. Gather maps, coordinate surveys, and compile applicable market intelligence and marketing support materials. Market Knowledge Prepare surveys including lease and sales comparables and availability analyses. Liaise with appropriate departments to obtain data including financial, marketing, and market intelligence. Marketing Support Administer, coordinate, and produce marketing materials: property brochures, CIMs, mail pieces, email blasts, maps, and broker events. Manage ad placements across sitings.ca, Spacelist, and social media. Coordinate signage, photography, drone footage, and ICSC conference materials. Initiate and manage marketing campaigns including email blasts, mailers, postal walks, and broker events. Maintain property listings on various websites; update agents' recent transactions on the Sitings website. Respond to general inquiries; liaise with Brokers regarding listing inquiries, tour packages, and tour coordination. Support prospect tracking, pipeline management, and coordination of smaller-scale broker and client receptions. Research & Reporting Prepare landlord and client marketing reports, market surveys, lease summaries, and comparable analyses. Source property information and available premises using tools such as Autoprop. Contribute to Sitings' comparables databases and the company's ClientLook CRM. Transaction Administration Prepare and facilitate legal documents: letters of intent, offers, commission agreements, listing agreements, and MLS agreements. Prepare all BCFSA-required forms including Agency and Disclosure forms. Track and update documents throughout the transaction lifecycle: sign backs, subject removal dates, amendments, closings, and deposit collection. Support Broker(s) with Trade Record Sheet (TRS) processing and auditing; enter required FINTRAC data. Acquisitions Support Support brokerage acquisition activity from initial sourcing through closing across retail assets in Western Canada. Identify and screen potential acquisition opportunities using Autoprop, Provincial Assessment tools, broker websites, listing platforms, and land title records. Conduct due diligence including lease and title analysis, market analysis, and investor management. General Administration Liaise with clients to coordinate information, organize meetings, and obtain required documentation. Support agent database management (ClientLook); schedule meetings, appointments, and travel. Provide general office support: file management, scanning, correspondence preparation, and distribution coordination. QUALIFICATIONS Required Real estate license or current enrollment in the real estate licensing course. Detail-oriented with outstanding verbal and written communication skills. Intermediate to advanced Microsoft Office (Outlook, Word, Excel); InDesign experience an asset. Experience with MLS, Autoprop, RealNet, and internet-based research tools is beneficial. Demonstrates ability to prioritize and handle multiple tasks accurately under deadline pressure. Preferred Post-secondary diploma or degree. Related administrative experience in commercial real estate or a related industry.
