Records Clerk Location: Edmonton, Alberta — Full-Time, Onsite Contract Duration: September 1, 2026 – August 31, 2027 Pay Rate: $40/hour to $48/hour Employment Type: 12-Month Contract Position Overview We are seeking Records Clerk to provide administrative and operational support for the management and processing of Access to Information and Privacy (ATIP) requests. The successful candidate will support the ATIP/Information Governance team by coordinating information requests, retrieving and organizing records, maintaining confidential files, monitoring legislated timelines, and assisting with privacy and records management activities. This position requires a highly organized and detail-oriented professional who can handle confidential and sensitive information with discretion while managing multiple deadlines and priorities. Key Responsibilities Receive, log, track, and monitor Access to Information and Privacy (ATIP) requests. Assist with processing information requests in accordance with applicable Alberta access and privacy legislation, organizational policies, and procedures. Coordinate the collection, organization, and review of records from various internal departments. Maintain accurate ATIP tracking systems, databases, records, and files. Prepare correspondence, reports, tracking updates, and other documentation related to information requests. Conduct administrative reviews of records to identify personal, confidential, or sensitive information requiring further assessment. Support the application of records retention and records management policies. Liaise with internal stakeholders and departments to obtain required records and clarify request requirements. Monitor legislated response timelines and follow up with departments to ensure deadlines are met. Maintain strict confidentiality and exercise sound judgment when handling sensitive information. Assist with privacy breach documentation, investigations, and reporting activities. Support audits, compliance reviews, information governance activities, and reporting requirements. Provide general administrative and coordination support to the ATIP/Information Governance team. Required Qualifications Education Diploma or certificate in Business Administration, Information Management, Records Management, Legal Administration, Public Administration, or a related field. An equivalent combination of education and relevant experience may be considered. Required Experience Candidates should have 1–3 years of administrative experience, preferably within one or more of the following environments: Access to Information and Privacy (ATIP) Records and Information Management Government or municipal organizations Healthcare Education Public sector Other regulated or highly confidential environments Experience handling confidential, personal, or sensitive information is required. Required Knowledge & Skills Knowledge or understanding of Alberta privacy and access legislation and related principles. Understanding of records management and information governance practices. Strong organizational and time-management skills. Excellent attention to detail and accuracy. Ability to manage multiple priorities and competing deadlines. Strong written and verbal communication skills. Proficiency with Microsoft Office Suite, particularly: Microsoft Word Microsoft Excel Microsoft Outlook Microsoft Teams Strong analytical, problem-solving, and research skills. Ability to exercise discretion and maintain strict confidentiality. Ability to work effectively with multiple internal stakeholders and departments. Experience working with electronic records management systems is an asset. Experience supporting privacy impact assessments (PIAs). Experience with privacy breach management, documentation, investigation, or reporting. Familiarity with records management software. Experience working with Electronic Document and Records Management Systems (EDMS/EDRMS). Previous experience in a government, municipal, healthcare, education, or other public-sector environment. Working Conditions Location: Edmonton, Alberta Work Arrangement: Full-time, onsite Primarily office-based environment. Extended periods of computer and document-based work. Ability to manage competing priorities and time-sensitive requests within legislated response timelines. Regular interaction with internal departments and stakeholders.
