About the Role: We are seeking a Payroll Administrator with experience using UKG to join our People and Culture team. This role is key to ensuring smooth, accurate, and timely payroll operations for our staff, faculty, and subcontractors. You will handle end-to-end payroll processing using UKG, support onboarding and benefits administration, and contribute to regulatory compliance across multiple provinces. * Location: Hybrid – Surrey, BC * Employment Type: Permanent, Full-Time * Start Date: As soon as possible * Salary: $50,000–$57,000 per year Key Responsibilities Payroll Operations * Process bi-weekly payroll for staff, faculty, and subcontractors using UKG, ensuring accuracy and adherence to timelines. * Maintain and update employee records in UKG, including new hire setups, terminations, and pay changes. * Monitor shared payroll inbox; respond to inquiries and escalate as needed. * Coordinate payroll cut-off reminders and ensure all required documentation is submitted on time. * Review and enter rate confirmations and adjustments into UKG. * Record and reconcile insurable hours, earnings, and deductions. * Generate payroll reports (e.g., RRSP contributions, YTD summaries) as needed. * Prepare and submit Records of Employment (ROEs) for eligible employees. * Investigate and resolve payroll discrepancies in a timely and professional manner. * Prepare monthly integrations for the finance team Vacation, Benefits & Compliance * Track and maintain vacation accruals and balances within UKG. * Ensure vacation usage aligns with employee entitlements and collective policies. * Calculate and reconcile benefit deductions monthly; update UKG with applicable rates. * Prepare and submit monthly and quarterly remittances for WCB, OHIS, WorkSafeBC, and EHT, by province. * Assist in maintaining internal rate matrix and compensation tracking documents. * Support accurate reconciliation of payroll-related GL accounts and ensure compliance with internal policies and government regulations. Administrative & Onboarding Support * Verify new hire documentation (e.g., tax forms, benefits enrollment). * Monitor the onboarding module each pay cycle to confirm payroll readiness. * Lead or support staff orientations in collaboration with the Talent Acquisition team. * Audit and maintain employee records in UKG to ensure data integrity and regulatory compliance. * Liaise with the Scheduling and Contracts Administrator and HR Assistant to ensure consistency between contracts and payroll data. * Provide general administrative support to the People & Culture team as required. * What you Bring * Minimum 1 year of experience in payroll, clerical, or administrative roles * Proficiency with Microsoft Office (Outlook, Excel, Word) and PDFs * Familiarity with the Employment Standards Act and payroll best practices * Excellent written and verbal communication skills * Work well under strict deadlines * Strong attention to detail, organization, and time management * Ability to maintain confidentiality and handle sensitive information professionally Nice to Have * Experience with UKG payroll systems is an asset * Payroll Compliance Practitioner (PCP) designation from the National Payroll Institute is considered as an asset * Candidates who do not currently hold the PCP designation will be supported by Stenberg College, including financial support toward obtaining the PCP certification. * Previous work experience in post-secondary education or a regulated industry Why Join Us?
