About the Role: The Recruitment & Onboarding Specialist is a highly visible, relationship-driven member of the Human Resources team who plays a critical role in shaping the candidate and hiring manager experience. This role serves as the primary ambassador of the organization’s employer brand, representing Swish with energy, professionalism, and authenticity throughout the recruitment lifecycle. With a strong service mindset and natural ability to build trust, the Recruitment & Onboarding Specialist partners closely with hiring managers to attract, engage, and secure top talent. This position owns recruitment processes, systems, and candidate care, while also providing backup support for HR Operations and project work as needed. The role requires a high level of phone and live interaction, as meaningful, relationship-based communication is central to successful hiring outcomes. Key Responsibilities: Recruitment & Workforce Planning Develop and implement recruitment strategies aligned with organizational goals, workforce plans, and future growth needs. Partner with hiring managers and HR leadership to anticipate hiring needs and proactively plan recruitment activities. Collaborate with the Human Resources Business Partner on workforce planning initiatives and the creation, review, and maintenance of job descriptions. Take an active, outbound approach to recruitment by sourcing and engaging candidates through a variety of channels beyond traditional postings. Candidate Experience & Hiring Manager Partnership Serve as the primary point of contact for candidates, delivering a high-touch, engaging, and professional experience throughout the recruitment process. Act as a trusted advisor to hiring managers on recruiting strategy, candidate assessment, and market insights. Manage full-cycle recruitment activities, including: Candidate sourcing and screening High-volume phone and virtual interviews Interview scheduling, preparation, and participation Candidate evaluation, ranking, and selection support Offer preparation, presentation, and negotiation Represent the organization positively and enthusiastically, effectively “selling” the company, culture, and opportunities to prospective candidates. Pre-Boarding, Onboarding & Integration Own and manage the pre-boarding and onboarding experience for new hires. Coordinate and facilitate Day 1 orientation activities. Conduct Week 1 and Month 1 check-ins to support engagement, retention, and successful integration. Champion continuous improvement of onboarding processes, introducing innovative practices that enhance manager and employee engagement. Recruitment Systems, Metrics & Employer Brand Maintain ownership of the organization’s Applicant Tracking System (ATS) and recruitment technologies. Leverage external recruitment platforms (e.g., Indeed, Glassdoor) to maximize reach and effectiveness. Track, analyze, and report recruitment metrics on a monthly basis, providing insights and recommendations. Monitor and analyze employer brand presence and reviews on external platforms, identifying trends and opportunities to strengthen the organization’s reputation. HR Operations & Cross-Functional Support Provide backup support to HR Operations, including administrative and project-based work, as required. Support HR initiatives and process improvements as assigned. Assist with training initiatives for employees and managers in partnership with Human Resources team members. Represent the organization at job fairs, recruitment events, and community initiatives. What You Bring: Experience: 3–5 years of experience within a Human Resources function. Demonstrated experience in Recruitment, Staffing, Workforce Planning, and Onboarding. Proven success building trusted partnerships with hiring managers and internal stakeholders. Strong track record of managing recruitment processes and multiple requisitions simultaneously. High comfort level with frequent phone-based communication and live interviews. Experience managing and optimizing ATS platforms. Demonstrated ability to analyze recruitment metrics and translate data into action. Solid knowledge of HR policies, procedures, and applicable employment regulations. Strong judgment, problem-solving, and decision-making skills. Experience with conflict management and stakeholder influence. Skills & Competencies: Exceptionally strong interpersonal and communication skills. Outgoing, approachable, and service-oriented demeanor. Highly organized with strong attention to detail. Ability to prioritize, multitask, and adapt in a dynamic environment. Strong sense of ownership, urgency, and follow-through. Proficiency in MS Office and Google Workspace. Education: Post-secondary education in Human Resources or a related field, or equivalent experience.
