THE POSITION The Metro Vancouver based Operations & Logistics Coordinator position is an opportunity to join a growing team of professionals who are passionate about the SYLVIS mission to Make Waste History through sustainable residuals management. This role is ideal for someone who enjoys subcontractor management, transportation logistics, schedule coordination, hauling and shipment tracking, data accuracy, and clear communication with subcontractors. Working with project managers, transportation contractors, farm partners and field personnel, you will maintain tracking systems and project records, support invoice reconciliation, and help ensure projects are delivered safely, efficiently, and in compliance with regulatory and client requirements. Note that SYLVIS does not own transport vehicles but works closely with subcontractors to manage transportation requirements and coordination. This is primarily an office-based, in-person position in at the New Westminster office in Metro Vancouver, with occasional field activities and trips to project sites. The position responsibilities include being on call to manage time sensitive phone calls outside of standard office hours. The ideal candidate is organized, detail-oriented, comfortable with data entry and reporting, and motivated by supporting sustainability-focused projects through effective operational coordination. FUNCTIONS AND RESPONSIBILITIES Responsibilities include, but are not limited to the following: Support operational logistics planning and coordination for projects Assess, select and draft contracts for new subcontractors Coordinate transportation logistics, including scheduling, hauling status tracking, and route and site access planning Act as the primary contact for subcontracted transporters, coordinating schedules, documentation, and day-to-day operational communications Maintain forecasts, shipment and hauling records, communication logs, databases, spreadsheets, and other project records Collect, verify, enter, and manage transportation, equipment, and project data with a high degree of accuracy Review transportation invoices, reconcile operational records, and support project cost tracking and forecasting Prepare transportation-related reports, including hauling summaries, communication updates, project metrics, and performance tracking Support project teams through effective coordination, continuous improvement of systems and processes, and general operational and administrative support. QUALIFICATIONS Diploma or degree in Logistics, Supply Chain Management, Business Administration, Operations Management, Environmental Technology, or a related field. Legally authorized to work in Canada Valid Canadian driver’s license SKILLS AND EXPERIENCE 3+ years of experience in logistics coordination, transportation coordination, operations support, dispatch coordination, project administration, or a similar role Experience coordinating multiple priorities and deadlines in a fast-paced environment Experience maintaining spreadsheets, tracking systems, communication logs, and operational records Strong proficiency with Microsoft Excel and Microsoft Office applications Experience reviewing invoices, reconciling records, and supporting project cost tracking Strong analytical and problem-solving skills Outstanding organizational skills, attention to detail, data accuracy, documentation quality, and follow-through Strong written and verbal communication skills Ability to work independently while supporting multiple project teams Experience with logistics, dispatch, CRM, or ERPs is an asset Experience with trucking, freight, shipment tracking, carrier coordination, or supply chain operations is an asset Experience in waste management, environmental services, agriculture, construction, transportation, or municipal operations is an asset Experience with GIS and mapping software is an asset BENEFITS SYLVIS is committed to offering a competitive benefits package and fostering long-term employee satisfaction and retention.
