About this Role Global Solutions Family Office is seeking a polished, service-oriented Office & Administrative Coordinator to support the day-to-day operations of its Downtown Vancouver office. This role is a blend of administration, front-desk coordination, and office operations. You will be the welcoming first point of contact for clients and visitors, while also ensuring the office remains organized, professional, and running smoothly. The successful candidate enjoys creating a positive workplace experience, takes pride in attention to detail, and is comfortable balancing administrative tasks with hands-on office support. Key responsibilities include: Greet clients, guests, and vendors and provide a professional front-desk experience. Manage meeting room bookings and coordinate meeting logistics. Monitor the main phone line and general inbox and direct inquiries appropriately. Prepare and format presentations, letters, agendas, and other business documents. Coordinate calendars, appointments, and travel arrangements for leadership as required. Process expense reports and maintain administrative records and digital filing systems. Order office, kitchen, and hospitality supplies and maintain inventory levels. Ensure reception, meeting rooms, kitchen, and common areas are clean, organized, and client-ready throughout the day. Support onsite meetings and events, including room setup, catering coordination, and post-meeting cleanup. Assist with general office administration and operational tasks as needed. This is a full-time, on-site (5 days/week) role based in Global Solutions’ beautiful Downtown Vancouver office. About the Candidate You are an organized, dependable, and proactive administrative professional with experience in a professional office environment. You enjoy interacting with people, can manage multiple priorities with ease, and take initiative to keep things running smoothly without needing close supervision. The ideal candidate will have: Experience in an administrative, receptionist, office coordinator, or executive support role. Excellent client service skills. Strong communication and interpersonal skills. Excellent organizational skills and attention to detail. Proficiency with Microsoft Office (Outlook, Word, Excel, and PowerPoint). A positive, team-oriented attitude and a strong sense of ownership. The ability to maintain professionalism and discretion when handling sensitive information. Compensation & Benefits Global Solutions believes in rewarding its team with not only competitive compensation, but also a supportive and professional workplace. This role offers an annual base salary of CAD $50,000-$60,000, along with paid vacation, paid sick days, a health and dental benefits allowance, along with the opportunity to learn from an experienced team of Advisors and Practice Managers in the Wealth Management space.
