About the Role We're looking for an Operations Coordinator to be the connective tissue that keeps TechTO and Peerscale running smoothly - owning the logistics behind our events, keeping our budgets and invoicing on track, and handling the day-to-day coordination that holds a fast-moving team together. This is a hands-on, generalist role for someone early in their career who's organized, detail-obsessed, and genuinely excited to learn how a lean tech organization operates from the inside. You won't just own one lane. You'll keep our events running flawlessly, our numbers accurate and on time, and the small things across the whole organization from slipping through the cracks. This is a rare seat for a junior operator to see everything and grow fast. What You'll Do 1. Events Coordination & Logistics (45%) Support end-to-end logistics for our 70+ annual events (TechTO monthly flagships, quarterly vertical events, intimate curated experiences, Peerscale dinners, and the annual retreat) Coordinate vendors - catering, A/V, photography, etc - and lead the day-to-day supplier communication that keeps everything on track Handle venue and restaurant bookings and reservations, including Peerscale dinners and curated experiences Manage event registration in Luma and help with attendee communications Build and maintain runbooks, timelines, and checklists so every event runs like clockwork Be on the ground on event days: registration, set-up and teardown, attendee experience, and real-time problem-solving Help coordinate volunteers - scheduling, briefing, and day-of roles Coordinate the execution of sponsor deliverables at events (booths, branding, speaking slots) and help compile post-event recap materials 2. Budgets, Invoicing & Finance Admin (15%) Keep the event budget and P&L trackers current - log actuals against budget and run post-event reconciliation so each event is fully closed out Prepare and send monthly invoices to sponsors and partners through Xero, and follow up on outstanding payments Enter bills, expenses, and payables into Float, and flag any budget variances You don't need a finance background - but you're comfortable with numbers, and you like seeing a budget balance and a P&L that adds up. 3. Cross-Organization Coordination & Admin (40%) Keep projects moving across the team - events, marketing, and membership - by tracking tasks, deadlines, and follow-ups Coordinate calendars, meetings, and internal communications so the team stays aligned Monitor shared inboxes, route inquiries to the right person, and make sure nothing goes unanswered Maintain our systems and records - CRM, shared drives, trackers, and documentation Prepare documents, decks, and reports as needed, and help keep our processes documented and up to date Spot the repetitive, manual tasks and help us make them simpler and more automated over time What We're Looking For 2–3 years minimum experience in coordination, operations, administration, or events - new-ish to your career but ready to take real ownership (recent grads with relevant internship or co-op experience, we'd love to hear from you) Comfortable with ambiguity - you can operate without a fully built-out playbook, make the call, and figure things out as you go High agency and responsive communication - you move things forward without waiting to be asked, and people always know where things stand with you Proven, resourceful use of AI tools to automate repeatable work - you can point to tasks you've made faster or handed off to AI, and you're always hunting for the next thing to automate A working understanding of the Canadian startup ecosystem, and a real hunger to learn more Organized with sharp attention to detail - you're the person who thinks a few steps ahead and catches what others miss Strong vendor and logistics coordination instincts - you're comfortable juggling suppliers, bookings, and timelines without dropping a ball Comfortable with numbers and simple budgets - you like when things add up; experience with Xero is a plus, but we can teach the tools Comfortable juggling multiple priorities in a fast-paced environment where things shift on the fly Handy with Google Workspace and Slack; a quick study on new tools (we use Luma, Beehiiv, Xero, Canva, and more) Available to work occasional evenings and weekends, and able to help move event materials and be on your feet during events You'll Thrive Here If You like variety - no two days look the same, and you'd rather touch everything than do one thing on repeat You take ownership like it's your own company and don't need hand-holding to get things done You find satisfaction in things running on time, on budget, and without drama You want to learn how a real operation works end to end, and grow into more responsibility over time Why Join Us Work at the centre of Canada's tech scene, alongside the founders, operators, and investors building it Get a front-row seat to how a lean, high-output organization actually runs Real ownership and room to grow, fast, in a role you can shape Be part of a mission-driven team that values collaboration, learning, and showing up for the community How to Apply We know your time is valuable and so is ours.
