Purpose/Overview The HR Shared Services Center Coordinator plays a key role in delivering frontline HR administrative and transactional support throughout the employee lifecycle. Acting as a primary point of contact and support for employees, managers, and internal stakeholders, this role ensures the efficient delivery of HR services while maintaining accurate, complete, and up-to-date employee data within the HRIS platform. This position is responsible for managing inquiries through the Shared Services ticketing system, supporting HRIS transactions related to employee lifecycle (onboarding, offboarding, and employee data changes) and supporting organizational changes including job changes, reporting line updates, and other employee data changes. The HRSSC coordinator performs regular audits to ensure data integrity, generates recurring and ad hoc reports, administers compliance processes such as E-Verify for the U.S. employee population, and supports key HR programs and initiatives. The HRSSC coordinator processes employee transactions in a timely and accurate manner, adheres to established procedures and service standards, and maintains the highest level of confidentiality. The role requires strong attention to detail, excellent data entry and organizational skills, a customer-focused mindset, and the ability to manage multiple priorities while meeting established deadlines. Responsibilities • Bilingual Customer Service: Act as the first line of support for current and prospective ALDO employees in resolving a wide variety of HR inquiries and requests – actively triaging, resolving, and/or escalating issues as defined by service level agreements. Promote a positive employee experience and proper guidance where applicable. • Manage and document employee and manager inquiries through the HR Shared Services ticketing platform, ensuring accurate categorization, tracking, and resolution of requests. • Meet established service level agreements and quality standards while delivering a positive employee experience. • Recruitment: Effectively support the recruitment process for onboarding within the HRIS, troubleshooting any user issues with our current Applicant Tracking System (SuccessFactors) • Onboarding: Ensure all pre-onboarding activities are completed prior to the employee’s hire date, manage E-Verify and I-9 compliance and ensure a smooth transition for employees joining ALDO. Make any necessary follow-ups with the managers or associates for data collection and provide guidance if blockers are found. • Offboarding: Support the offboarding process including necessary HRIS (SuccessFactors) transactions • Benefits Administration: Ensure the accurate plan information is reflected within employee profiles • Maintain the integrity of the HRIS by updating employee profiles and performing regular audits and data validations for the HRIS (SuccessFactors). • Demonstrate a proactive approach to identifying opportunities for process improvements and contribute to the enhancement of HR Shared Services procedures, tools, and internal/external document creation. • Generate, validate, and distribute recurring and ad hoc HR reports while ensuring data accuracy and confidentiality • Manage and process employment letter requests, including employment verification, and other HR-related documentation. • Contribute to the achievement of team performance metrics related to service quality, response time, and data accuracy Qualifications • College diploma in a related discipline (Human Resource, Business, Administration) and/or 1-3 years of HR, administrative, customer service, or shared services experience. • Experience providing superior customer service to internal and external customers, including meeting quality standards with strong attention to detail. • Excellent interpersonal and communication skills, both written and oral • Strong data entry skills • Basic-Intermediate Microsoft Excel skills, including VLOOKUP, data validation, filtering, and sorting • Proven ability to remain organized, prioritized, and multi-task in a fast-paced environment, while managing time effectively • Ability to form effective working relationships • Effective problem-solving skills, and the ability to take initiative • Excellent verbal and written English proficiency is required for this position due to frequent interactions with partners, clients, and/or colleagues located outside Quebec whose primary working language is English. The ability to communicate effectively in French, both verbally and in writing, is also considered an asset. • Experience with HRIS systems; SuccessFactors experience is considered an asset.
