Jim Pattison Toyota on Regent is looking for an experienced Senior Accounting Administrator to join our team. This position is ideal for an accounting professional who is ready to take on a broader administrative role and provide hands-on support across dealership accounting and office operations. Working closely with the accounting and management teams, the Senior Accounting Administrator will help maintain accurate financial records, oversee key accounting processes, support departmental administration, and ensure the day-to-day office functions efficiently. This role will also provide backup support for vehicle deal processing and other dealership accounting activities when required. Schedule: Full-time, permanent, 40 hours per week, Monday to Friday. The successful candidate will have the opportunity to contribute beyond transactional accounting by supporting office operations, improving processes, and working closely with dealership management. A Day in the Life Reconcile departmental accounts and investigate and resolve discrepancies. Process and verify accounts payable and accounts receivable transactions. Monitor outstanding receivables and assist with collections as required. Review repair orders, insurance payments, invoices, and supporting documentation for accuracy. Prepare and maintain monthly account reconciliations. Assist with month-end and year-end accounting procedures. Prepare, maintain, and distribute financial reports for management review. Maintain accurate financial records and support internal and external audit requirements. Provide accounting and administrative support to the Collision and Glass departments. Coordinate office processes, documentation, filing, and record retention. Work with internal departments to ensure information is accurate, complete, and processed on time. Respond to inquiries from customers, vendors, insurance partners, and staff. Provide backup support for vehicle deal processing, posting, and funding activities. Assist with vehicle inventory accounting and other dealership transactions when required. Identify opportunities to improve office and accounting processes. Support the accounting and management teams with additional duties, projects, and administrative responsibilities as assigned. What We're Looking For Minimum 3 years of accounting, bookkeeping, or senior administrative accounting experience. Strong understanding of accounts payable, accounts receivable, reconciliations, and financial reporting. Experience working in an automotive dealership, collision centre, or similar fast-paced environment is preferred. Experience with dealership management systems is considered an asset. Advanced proficiency with Microsoft Excel and other Microsoft Office applications. Strong attention to detail and a high degree of accuracy. Excellent organizational, time management, and problem-solving skills. Ability to prioritize competing deadlines and work independently with minimal supervision. Strong communication and interpersonal skills, with the ability to work effectively with employees, management, customers, and external partners. Demonstrated initiative and a willingness to take ownership of tasks and follow them through to completion. Knowledge of dealership accounting processes, deal posting, and vehicle funding is considered a strong asset. A post-secondary education in accounting, business administration, or a related field is considered an asset.
