About this Role The Estimating Coordinator provides administrative, analytical and coordination support to the Estimator and Contracts Manager across estimating, purchasing and contract-related activities. The role supports purchase-order administration, pricing, RFPs, take-offs, drawing and document review, contract documentation and coordination with internal teams, suppliers and trade partners. The position also supports the Database Manager with the maintenance and accuracy of product, pricing and related information within NewStar. Key Responsibilities Maintain accurate product, pricing and cost information within NewStar Enterprise and related estimating and purchasing systems, including new products, options, pricing updates and discontinued items. Support the administration of base-house and upgrade purchase orders, including preparation, revisions, reissuance and resolution of pricing, coding or cost discrepancies in collaboration with Estimating, Contracts and Accounting. Assist with estimating activities, including RFP pricing, material take-offs and review of supplier or trade pricing information, with responsibility increasing in complexity as experience develops. Maintain and validate pricing documentation, catalogues and supporting records following tenders, supplier changes and other cost updates to ensure consistency across systems and source documentation. Support the review and coordination of lot-specific construction information, including cabinetry layouts, shop drawings, drawing revisions and related Site, Sales and Design Centre documentation. Maintain accurate records of estimating, pricing, purchasing and drawing revisions to support document control, tracking and auditability. Provide administrative support for contract and trade documentation, including preparation and tracking of required forms, agreements and electronic signature packages. Liaise with Sales, Design Centre, Construction, Accounting, Contracts, suppliers and trade partners to respond to pricing, product, purchase order and documentation enquiries and resolve discrepancies. Support timely issuance of purchase orders and other estimating-related information required to maintain construction schedules and avoid delays to site activities. Provide guidance and support to users on NewStar catalogue, pricing and system processes and assist other business units where shared products, trades or systems apply. Provide additional estimating, purchasing, systems and administrative support as required to meet departmental and operational priorities. Support in the maintenance of NewStar Enterprise data for models, specifications, pricing, schedules, take-offs and selling costs, ensuring information is complete, accurate and current. Perform all other duties as required. Education and Experience Requirements Post-secondary education in Estimating, Construction Management, Architectural/Construction Technology, Business Administration, Supply Chain Management or a related field is preferred. One to two years of experience in estimating, purchasing/procurement, construction administration or residential homebuilding is considered an asset; strong recent graduates may also be considered. Ability to read and interpret residential construction drawings and specifications, with a willingness to develop stronger technical knowledge over time. Strong numerical skills and attention to detail when reviewing pricing, quantities, purchase orders and take-offs. Strong organizational, prioritization and time-management skills with the ability to manage multiple deadlines. Strong verbal and written communication skills and the ability to work effectively with trade partners and internal departments. Proficiency with Microsoft Office, particularly Excel and Outlook. Experience with NewStar Enterprise, BuilderMT or similar construction software is considered an asset. Demonstrated initiative, willingness to learn and ability to take on progressively more complex responsibilities as proficiency develops. Physical/Sensory Effort and Work Environment Provide service to several people or departments while working under multiple simultaneous deadlines. Sitting or standing for long periods of time at a workstation. Overtime may be required during busy periods or to meet project deadlines. Manual dexterity is required to use a desktop computer and peripherals. Work includes repetitive computer and document-management tasks.
