About Our Client Our client is a respected professional organization with a long-standing presence in Nova Scotia. This is a professional office environment where discretion, sound judgment, and strong communication skills are important. The Opportunity As the Administrative Receptionist, you will be the first point of contact for visitors and callers while helping to keep the day-to-day operations of the office running smoothly. Along with managing reception and incoming communications, you will provide administrative support across the organization, coordinate meeting rooms and couriers, assist with accommodations for meeting attendees, and help ensure information is directed to the right people. This is a 4-6 month term position and would be a great fit for someone who is organized, dependable, comfortable handling confidential information, and enjoys a role where no two days are the same. The Ideal Candidate You will have previous administrative or reception experience in a professional office environment and is confident in managing a busy front desk. You are friendly and approachable while maintaining a high level of professionalism and discretion. You are comfortable juggling competing priorities, working independently when needed, and knowing when something sensitive or confidential should be brought to the attention of senior staff. Strong Microsoft Office skills, attention to detail, and excellent written and verbal communication skills will be important in this role. Requirements Welcome all visitors, determine the nature of their business, inform relevant staff members upon arrival, and direct visitors to assigned meeting rooms. Maintain building security by following established procedures and ensuring visitors sign in and out of the building. Maintain a logbook of visitors entering and leaving the building. Operate the switchboard by answering incoming telephone calls, determining the purpose of calls, and forwarding calls to the appropriate staff member. Take and deliver messages or transfer calls to voicemail when appropriate staff members are unavailable. Maintain and ensure the main phone line greeting is accurate and up to date. Ensure the main phone line voicemail reflects office closures. Ensure voicemail messages left on the main phone line are directed to the appropriate staff members. Receive and forward incoming faxes. Open, date stamp, sort, and distribute incoming mail, deliveries, and couriers. Prepare and arrange outgoing couriers. Book internal meeting rooms. Serve as liaison with the contract hotel regarding accommodations for meeting attendees. Ensure the reception area is kept tidy and maintains a professional appearance. Provide general administrative support for the organization as assigned. Handle matters proactively and follow projects through to successful completion, often while working within deadlines. Recognize politically sensitive and/or confidential issues and bring matters to the attention of the appropriate executive. Maintain a high standard of professionalism in all communications. Assist with special projects and other duties as assigned. Qualifications Diploma in Office Administration, Business Administration, or another related discipline. Highly skilled in Microsoft Office, including Word, Excel, PowerPoint, and Outlook. Demonstrated skills in database management. Excellent typing skills. Strong verbal and written communication skills, including superior proofreading skills. Demonstrated experience managing confidential and sensitive information and conversations with tact, diplomacy, and professionalism. Punctual and reliable with an outstanding attendance record. Superior organizational skills and attention to detail. Demonstrated professionalism, tact, and sound judgment. High level of discretion and diplomacy when handling confidential information. Strong interpersonal skills with the ability to build positive relationships with key stakeholders. Self-starter who can work independently while also contributing as part of a team. Ability to develop effective working relationships with staff and members. Able to manage conflicting priorities and stressful situations with confidence. Demonstrated ability to multitask. Strong time management and prioritization skills. Ability to meet deadlines in a busy environment. Benefits $25.00 per hour. 4-6 month term position. Monday to Thursday, 8:00 a.m. to 4:00 p.m. and Friday, 8:00 a.m. to 12:00 p.m. until August 28. Effective September 1, Monday to Friday, 8:30 a.m. to 4:30 p.m. Centrally located Halifax office.
