Order Entry / Customer Service Representative Location: Oshawa, Ontario Work Arrangement: Hybrid Employment Type: Full-Time About The Role SNF Canada is seeking an organized and customer-focused Order Entry / Customer Service Representative to join our team in Oshawa, Ontario. This role is responsible for managing customer orders from initial entry through fulfillment, ensuring accurate and timely processing while providing a high level of customer service. The successful candidate will work closely with customers, sales, logistics, production, warehouse, and other internal teams to ensure orders are processed accurately and delivered according to customer requirements. Key Responsibilities Accurately enter and process customer orders into the company’s ERP/order management system. Review orders for accuracy, including product, quantity, pricing, delivery requirements, and customer information. Respond to customer inquiries regarding orders, shipments, product availability, delivery schedules, and order status. Coordinate with sales, production, logistics, warehouse, and shipping teams to ensure customer requirements are met. Monitor open orders and proactively communicate delays, changes, or potential issues to customers and internal stakeholders. Maintain accurate customer and order records within company systems. Process order changes, cancellations, returns, credits, and related documentation as required. Coordinate with logistics and transportation providers to support timely deliveries. Investigate and resolve customer concerns related to orders, deliveries, invoices, and product availability. Work closely with the sales team to support customer account management and ensure a seamless customer experience. Prepare and provide order confirmations, shipping information, and other customer documentation. Assist with forecasting, inventory inquiries, and order planning when required. Identify recurring customer or order issues and escalate appropriately. Maintain a high level of accuracy while managing multiple priorities and deadlines. Follow company policies, procedures, and applicable safety and quality requirements. Support other administrative and customer service activities as required. Qualifications 2+ years of experience in customer service, order entry, order management, inside sales support, or a similar administrative role. Experience working in a manufacturing, distribution, industrial, chemical, or product-based environment is considered an asset. Strong data entry and administrative skills with excellent attention to detail. Experience working with ERP, CRM, or order management systems. Strong Microsoft Office skills, particularly Excel and Outlook. Excellent verbal and written communication skills. Strong organizational and time-management abilities. Ability to prioritize multiple customer requests and orders in a fast-paced environment. Strong problem-solving and follow-up skills. Ability to work collaboratively with sales, operations, logistics, and other internal departments. Professional, customer-focused approach with a strong sense of ownership and accountability.
