We are committed to delivering compassionate, dependable, and professional healthcare support through our team of qualified RNs, RPNs, PSWs, DSWs, and other healthcare professionals.We are seeking a highly organized and proactive Scheduler / Staffing Coordinator to join our growing team. Key Responsibilities Coordinate and maintain daily staffing schedules for healthcare facilities, retirement residences, long-term care homes, hospitals, and private clients. Fill open shifts by contacting available healthcare professionals while ensuring timely coverage. Schedule RNs, RPNs, PSWs, DSWs, and other healthcare staff based on client requirements and employee availability. Monitor staff attendance, call-offs, lateness, vacation requests, leaves of absence, and shift changes. Communicate with healthcare facilities regarding staffing requests, schedule changes, and urgent coverage needs. Maintain accurate scheduling records and ensure employee availability is updated. Respond to after-hours or urgent staffing requests when required. Build and maintain strong relationships with clients and healthcare staff through professional communication. Assist with onboarding new employees by collecting availability and scheduling information. Prepare daily, weekly, and monthly scheduling reports. Collaborate with the Recruitment and Operations teams to forecast staffing needs. Ensure compliance with agency policies, client requirements, and applicable employment standards. Perform other administrative duties as assigned. Qualifications Post-secondary education in Business Administration, Healthcare Administration, Human Resources, or a related field is considered an asset. Experience scheduling healthcare professionals (RN, RPN, PSW, DSW, caregivers) is highly preferred. Excellent organizational and time-management skills with the ability to prioritize competing demands. Ability to work effectively in a fast-paced environment and respond to urgent staffing needs. Strong problem-solving and decision-making abilities. Excellent verbal and written communication skills. High attention to detail and accuracy. Proficient in Microsoft Office (Excel, Outlook, Word, Teams). Experience using scheduling or workforce management software is an asset. Ability to work independently while contributing positively to a collaborative team environment. Preferred Skills Knowledge of Ontario's healthcare system and staffing practices. Familiarity with long-term care, retirement homes, hospitals, and community care. Customer service and relationship management experience. Ability to remain calm under pressure while managing multiple priorities. Professional, dependable, and solution-oriented mindset.
