UES has grown substantially over the years and to support our expanding operations, we are seeking a versatile professional to manage key administrative, financial, and HR processes. About the Role This newly created position at UES offers a unique opportunity for a proactive, highly organized self-starter to shape and define administrative operations from the ground up. Working closely with management, the ideal candidate will play a pivotal role in establishing efficient workflows, structuring daily responsibilities, and building systems that directly support company growth. As the role evolves organically, you will have the autonomy to make it your own and leave a lasting impact on our team's success. Key Responsibilities *Accounting & Financial Support* · Process supplier, vendor, and staff expense invoices, entering them accurately into bookkeeping software. · Assist with reviewing, reconciling, and updating employee hours for payroll processing. · Track and update apprentice training hours, benefit details, and wage adjustments. *Administrative Support* · Provide day-to-day administrative support to leadership and project management teams. · Monitor central email inboxes, organize incoming tender invites, and route project information to estimators and project managers. · Maintain, organize, and manage digital company records and file archives. *HR & Training Support* · Facilitate the onboarding process for new hires, including documentation and employee file maintenance. · Track compliance records, certifications, and ticket renewals, arranging staff training updates as needed. Qualifications & Requirements · *Experience:* 2?4+ years of administrative, operational, or bookkeeping support experience (experience in construction, trades, or contracting is a strong asset). · *Financial Literacy:* Hands-on experience processing Accounts Payable (A/P) and supporting basic payroll routines. · *Software Proficiency:* Familiarity with Sage (or similar accounting software), Excel, and cloud document management platforms (e.g., Dropbox). · *Core Competencies:* High attention to detail, strong problem-solving skills, and the self-direction needed to build efficient processes independently.
