The Easement Coordinator and Legal Assistant role is responsible for coordinating all easement activities required to support Valley Fiber’s network expansion and infrastructure projects, and providing administrative assistance to Valley Fiber’s in-house counsel. This role works closely with internal departments, external legal counsel, municipalities, property owners, and other stakeholders to facilitate the timely acquisition of easements, land rights, permits, and approvals. This is a 12-month term role located in our Winnipeg office. What You'll Do: * Coordinate easement acquisition activities in support of network expansion and construction projects. * Collaborate with internal stakeholders to identify easement requirements, timelines, and priorities. * Liaise with internal and external legal counsel regarding easement documentation, registrations, and legal requirements. * Communicate with property owners, municipalities, and other stakeholders to explain easement requirements, answer questions, and obtain required signatures. * Prepare, organize, and maintain complete and accurate documentation for easement and land development projects. * Track project milestones, maintain easement databases and status trackers, and provide timely progress updates. * Coordinate and complete easement activities in accordance with established priorities, timelines, and project deadlines. * Support land acquisition and leasing initiatives, including identifying opportunities and meeting with landowners and stakeholders as required. * Prepare and submit building permit applications, zoning applications, and other regulatory approvals. * Attend municipal council, Rural Municipality (RM), public hearings, and stakeholder meetings when required. * Participate in internal project meetings to support effective communication and project coordination. * Analyze issues, recommend practical solutions, and contribute to cross-functional problem solving. * Evaluate existing processes with a continuous improvement approach. * Perform searches such as title, PPR, and companies office. * Order land surveys and verify zoning restrictions. * Proofread and prepare letters and drafts of documents using established templates. * Arrange couriers and mail. * Filing (hard copies and electronic) and contract management. * Facilitate execution of documents through Docusign and track progress of required signatures. Qualifications, Skills & Competencies: * Strong analytical and problem-solving skills with the ability to develop practical, solution-focused recommendations. * Excellent verbal and written communication skills with the ability to build positive relationships with internal and external stakeholders. * Demonstrated professionalism, diplomacy, and sound judgment when dealing with confidential or sensitive matters. * Exceptional organizational and time management skills with the ability to manage multiple priorities in a fast-paced environment. * Strong attention to detail and commitment to maintaining accurate documentation and records. * Ability to work independently while contributing effectively as part of a collaborative team. * Experience working in a legal office, municipal office, land development, telecommunications, or a related field is considered an asset. * Experience preparing and processing easements, contracts, permits, or other legal documentation is preferred. * Experience communicating with landowners, municipalities, planning departments, contractors, and cross-functional teams. * Ability to interpret legal descriptions, surveys, easements, deeds, land purchase agreements, title documents, zoning information, and CAD drawings with guidance from legal counsel when required. * Proficiency with Microsoft Office Suite, including Outlook, Excel, Word, and Teams. * Proficiency with Docusign * Valid Class 5 driver's licence with the ability to travel as required. Working Conditions: * Primarily office-based with regular computer and desk work. * Frequent travel to project sites, municipal offices, and meetings with landowners and stakeholders. * Ability to drive for extended periods as required. * Occasional attendance at evening municipal council or public meetings. * Ability to remain seated and work at a computer for extended periods.
