Job summary
Position Summary The Front Desk Receptionist supports the day-to-day operations of the Women's Employment Resource Centre (WERC) by providing exceptional customer service, administrative support, and reception coverage. As the first point of contact for clients, community partners, and visitors, this role plays an important part in creating a welcoming, professional, and resource-focused environment for women accessing services. The successful candidate will help ensure clients feel respected, supported, and connected to appropriate services while maintaining efficient front desk operations and supporting the WERC team. Key Responsibilities Reception & Client Services Welcome clients, visitors, and community partners in a friendly, professional, and respectful manner. Serve as the first point of contact for individuals accessing WERC services, both in person and by phone. Respond to general inquiries and provide information about WERC programs, services, workshops, and community resources. Schedule client appointments and workshops using electronic scheduling systems. Assist clients with completing forms and navigating available services and resources. Maintain a welcoming and organized reception area and resource centre. Support clients in accessing computers, printers, and online resources as needed. Use strong customer service skills to build positive relationships and create a supportive environment for all individuals accessing services. Handle sensitive and confidential information with professionalism and discretion. Refer clients to appropriate staff members based on their needs. Administrative Support Complete general administrative tasks including filing, photocopying, scanning, data entry, and document preparation. Maintain accurate client records and ensure information is entered correctly into case management systems. Assist with client follow-up communications and appointment reminders. Technology & Office Systems Demonstrate proficiency in Microsoft 365 applications including Outlook, Word, Excel, and Teams. Utilize electronic scheduling, database, and case management systems including CaMS and WEdata. Assist clients with basic technology questions and online job-search activities when appropriate. Outreach & Community Support Support WERC participation in community events, workshops, and outreach activities. Assist with promoting programs, services, workshops, and employment-related opportunities. Represent WERC professionally and positively within the community. Help maintain up-to-date resource information for clients and community partners. Preferred Qualities We are looking for someone who: Enjoys helping people and providing excellent customer service. Working Conditions 35 hours per week. Monday to Friday, 9:00 a.m. to 4:30 p.m. (flexibility may be available). Hourly wage: $22.00 to $24.00 per hour (or as determined by experience and qualifications). Primarily office-based with occasional participation in community events and outreach activities.
