Position Summary We are seeking a bilingual Law Firm Assistant who is fluent in Mandarin and English with strong listening, writing, and organizational skills. This is a key front office role responsible for reception and administrative operations, while also supporting legal work such as document review, trial preparation, and assisting lawyers during examinations, hearings, and trials. This role is ideal for someone who enjoys both office administration and legal support work in a fast-paced professional environment. Key Responsibilities Reception, Client Service, and Office Administration Manage front desk operations, including client reception, phone calls, and scheduling/appointments. Provide bilingual communication support between clients and lawyers (Mandarin and English) Prepare and issue invoices and billing correspondence Support basic accounts receivable and accounts payable (AR and AP), including tracking payments and follow ups Maintain office filing systems (digital and paper), including scanning, saving, and organizing documents Assist with general office administration, data entry, and day to day operational support Paralegal and Legal Support Assist lawyers with litigation and general legal support tasks Review and organize documents and evidence (emails, records, contracts, correspondence, etc.) Prepare materials for trial preparation, including document binders, chronologies, indexes, and exhibits Assist with proofreading, formatting, and quality checking legal correspondence and documents Support lawyers during examinations, hearings, and trials, including managing materials, notes, logistics, and organization of key documents Maintain confidentiality and professionalism when handling sensitive client information Required Qualifications Fluent in Mandarin and English (spoken and written) 2+ years of legal or administrative experience is preferred. Strong listening skills with the ability to capture accurate details and instructions Excellent writing skills and attention to grammar, clarity, and professional tone Strong organizational and time management skills, with the ability to manage competing priorities Professional phone etiquette and client facing communication skills High attention to detail and reliability Strong computer skills (Microsoft Office, PDF tools, scanning, and document management) Able to handle confidential information with discretion Key Competencies Strong attention to detail and accuracy Discretion and sound judgment Proactive and willing to learn Calm under pressure and able to work with deadlines Strong communication and interpersonal skills Team oriented with a client service mindset Job Types: Full-time, Permanent Pay: $50,000.00-$75,000.00 per year Work Location: In person
