Location: North York – fully onsite, Monday to Friday Contract: 6-12 months Hours: 7.25 hours per day Pay: $28.00–$33.00 per hour Aeolus Staffing Solutions is recruiting an experienced Administrative Coordinator to support the Legal Services department of a large organization in the North York This is primarily a senior administrative and coordination role within a legal environment. The successful candidate will support scheduling, financial administration, reporting, meetings, document organization, and daily departmental operations. Key responsibilities: Manage calendars, meetings, scheduling priorities, and follow-up items Prepare meeting agendas, presentations, reports, and supporting materials Process purchase orders, invoices, accruals, expenses, and vendor payments Maintain budget trackers, dashboards, status reports, and departmental records Coordinate travel, events, leadership meetings, and team logistics Communicate with internal departments, vendors, and external law firms Organize electronic files and documents in accordance with record-keeping requirements Support onboarding and workspace setup for new team members Track departmental priorities and ensure deadlines are met Provide general administrative and project coordination support to legal leadership Qualifications: 3–5+ years of administrative coordination, executive support, or business operations experience Experience supporting senior leaders or a professional services department Strong experience with invoicing, purchase orders, budgeting, or expense administration Advanced proficiency in Microsoft Excel, PowerPoint, Word, and Outlook Experience with PeopleSoft or a similar financial system is an asset Previous experience in a legal, compliance, governance, or corporate environment is preferred but not mandatory Excellent organizational, communication, and time-management skills Comfortable managing multiple priorities in a fast-paced environment This is a fully onsite position in North York. Candidates must be available to work in the office five days per week.
