In this role, you will be at the heart of Travel's operations—coordinating communications during disruptions, maintaining the systems and documentation the team depends on, and providing essential administrative and reporting support to the Product and Operations teams. Who You Are You bring strong written communication skills and an eye for accuracy—your messages are clear, consistent, and on-brand every time. You are calm under pressure and able to shift gears quickly when travel disruptions or urgent situations demand a fast response. You are organized and detail-oriented, with a knack for maintaining clean documentation, accurate reports, and up-to-date systems. You enjoy working across teams and are comfortable liaising with stakeholders at all levels—from front-line agents to leadership. You are curious about technology and enthusiastic about using digital and AI-enabled tools to improve how work gets done. You take ownership of your work, proactively identify gaps, and do not wait to be asked before suggesting a better way forward. How You’ll Make an Impact Coordinate and issue operational and issues-based communications across Travel, working in partnership with the corporate communications team to keep internal teams and members informed during disruptions. Provide on-call support outside regular office hours when travel disruptions or crises arise, ensuring timely and accurate updates that meet AMA brand and publishing standards. Generate and maintain operational reports, logs, and data insights that support leadership and front-line decision-making and continuous improvement. Act as the data and reporting liaison for the Travel team, translating reporting needs to the data team and providing feedback on data definitions and outputs. Maintain internal documentation and intranet content (AMA's Backyard) to ensure travel processes, systems, and key information remain current and easy to find. Provide administrative and coordination support to the Travel Product and Operations teams, including support for ICE foreign currency, Passport Photos, and Escape Artist products. Assist in assessing the impact of proposed process or system changes on travel operations and support the rollout of new products, services, and initiatives. Triage and coordinate Travel ServiceNow tickets, tracking issues through to resolution and keeping the team informed on outstanding items. Leverage digital and AI-enabled tools to drive consistency, efficiency, and faster turnaround across Travel operations. What You Bring to the Table Post-secondary education in Travel Management, Business Administration, Communications, or equivalent. Minimum 2 years’ experience in an operational, administrative, or communications-focused role. Experience in the travel industry is considered a strong asset. Familiarity with travel systems (ClientLinq, Travcom, TST, NIS) and/or ServiceNow is considered an asset. Strong written communication skills with an eye for accuracy, brand consistency, and clear messaging. Ability to manage multiple priorities in a fast-paced, operational environment while remaining calm under pressure. Comfort working with reports, systems, and operational data, with an analytical mindset and strong attention to detail. Proficiency with Microsoft 365 (Word, Excel, Outlook, Teams, SharePoint). Interest in and experience using digital and AI-enabled tools (such as ChatGPT or Copilot) to improve how work gets done.
