This position works closely with our Office Services and Facilities & Hospitality staff and interacts regularly with all the firm’s lawyers and staff. The ideal candidate will have strong communication skills, a professional demeanor and possess a passion for exceptional client service This position is full-time, in-office at our North Vancouver location. Key Responsibilities Receiving incoming calls on a multi-line phone system Welcoming clients to the office; escorting them to meeting rooms and providing coffee or water as requested Processing client credit card payments Fielding incoming calls to determine who can best assist Responsible for receiving all incoming and outgoing mail, faxes, deliveries and couriers Responsible for boardroom bookings and assisting with firm events and functions Performing general housekeeping of reception area, boardrooms and kitchens as required Assisting with the management of lawyers’ calendars Coordinating parking for guests, clients and lawyers Maintaining internal staff listings Performing various administrative responsibilities as required such as posting mailing costs, assisting with company mail outs and document scanning Liaising with building maintenance and security as needed Completing other tasks as assigned by the Chief Operating Officer and Human Recourses Manager Qualifications One year of reception or administrative experience, preferably in a professional office A pleasant manner with excellent communication skills A service attitude to go ‘above and beyond’ Professional attire and demeanor with the ability to stay calm under pressure Ability to handle sensitive and confidential information with discretion Team player who can juggle competing demands in a detail-oriented environment Able to develop and sustain positive working relationships with all staff and lawyers Must be computer literate have experienced in MS Office Previous work experience in a law firm is an asset Why Choose Ratcliff?
