This position involves providing dedicated administrative support to senior executives, primarily supporting a Vice President and multiple directors. The role offers potential for extension and conversion, with the opportunity to work within a dynamic financial environment. Pay rate range (CAD): $17.60/hr – $26.83/hr Responsibilities Manage and coordinate calendars for assigned executives, including scheduling meetings, checking for conflicts, and preparing agendas Arrange travel and accommodations, including itineraries and expense reports Support meeting logistics, including booking venues, preparing materials, and arranging equipment and refreshments Handle correspondence, emails, and communication on behalf of executives, ensuring timely follow-up and prioritization Maintain and organize files, documentation, and reports with confidentiality and accuracy Review and process expense reports and invoices Assist with office logistics, including room bookings and event support as needed Exercise discretion when managing sensitive information and correspondence Prioritize workload to meet deadlines in a fast-paced environment Coordinate and communicate effectively with internal and external stakeholders Desired Skill-Set 1-2 years of experience as an Executive Assistant Calendar management expertise, including scheduling and conflict resolution Expense management experience, including reviewing and submitting invoices Proficiency in Microsoft 365 applications: Excel, Outlook, Word Strong organizational skills and attention to detail Excellent communication skills, both verbal and written Ability to work independently with minimal supervision Discretion and confidentiality in handling sensitive information Strong decision-making skills Nice To Have Experience in the banking or financial sector Familiarity with AI tools like Copilot or ChatGPT integration Prior experience working with senior executives in a corporate environment BeachHead is an equal opportunity agency and employer.
