We are looking for a Receptionist, Office Services (On site) to join our team in our Montreal office! As a Receptionist, Offices Services, you will be responsible for managing and organizing the reception desk and e-mail, while informing the team of customer arrivals. Your day as a Receptionist, Administrative Assistant * Greet clients in a friendly and courteous manner, while maintaining professionalism at all times; notify team members of their clients’ arrival. * Answer all incoming calls promptly, efficiently, and professionally. * Sort incoming insurance policies through our internal portal and route them to the appropriate departments and teams (9 different mailboxes). * Manage and organize the reception area. * Sort and distribute incoming mail from insurers (ICS) on a daily basis. * Coordinate and route mail between BFL offices across Canada. * Distribute mail to employee mailboxes and keep the mailroom organization up to date (mail cart and mailboxes). * Process all Canada Post mail using the postage machine (approximately 300 to 600 envelopes per day) and bring it to the mailbox on the ground floor. * Ensure sufficient funds are available in the postage machine. Order supplies such as adhesive, ink, and stamps as needed, and place service calls when required. * Track incoming cheques and date-stamp them upon receipt. * Efficiently distribute incoming faxes through the fax server. * Submit service requests to MACH for minor repairs, burnt-out lights, and other maintenance needs. Our Ideal Candidate * 1 to 3 years’ experience as a Receptionist or in an administrative position. * Knowledge of the insurance brokerage industry, an asset. * Computer literate, with excellent knowledge of Microsoft Office Suite (Outlook, Power Point, and Excel). * Bilingual with strong verbal and written communication skills in both French and English, as the candidate will be required to interact in English with stakeholders (colleagues and clients) outside Quebec. * Strong analytical and problem-solving skills. * Effective time management and organizational skills.
