Receptionist (Administration Building) Position Overview The Administration Receptionist is a key part of creating a welcoming, helpful, and positive experience for everyone who walks through the doors of the Administration Building. As the first point of contact, this role sets the tone for how employees, guests, visitors, and business partners experience Big White. With a guest-first mentality, the Receptionist approaches every interaction with warmth, professionalism, and a genuine desire to help. Whether answering a question, connecting someone with the right department, assisting with an administrative request, or simply making someone feel welcome, the Receptionist ensures people receive friendly, efficient, and knowledgeable service. This role also provides day-to-day administrative support to the Employee Experience and Administration teams and helps keep the front office organized, responsive, and running smoothly. What You’ll Do Front Desk & Guest Experience * Serve as the welcoming first point of contact for the Administration Building, greeting and assisting employees, guests, visitors, vendors, and the Big White community. * Answer the main telephone line and monitor the general email inbox, providing timely, professional, and helpful responses. * Provide general information and assistance, connecting individuals with the appropriate department or resource as needed. * Assist with printing, scanning, faxing, emailing, and other basic office service needs. * Maintain a clean, organized, and welcoming reception area while identifying opportunities to improve the front-desk experience. Administrative Support * Manage incoming and outgoing mail, including sorting and distribution, and coordinate regular courier trips to and from town. * Provide general administrative support to the Administration and Employee Experience teams as required. * Assist with other office duties and projects as required to support the smooth operation of the Administration Building. Staff Accommodation Support * Assist with inspections of staff accommodation units, including interior and exterior areas, to help ensure appropriate cleanliness, organization, and maintenance. * Support the identification and reporting of cleaning, maintenance, inventory, or other accommodation concerns. * Assist in ensuring inventories within staff accommodation units are maintained and accurately recorded. * Communicate accommodation-related concerns to the appropriate team members for follow-up. * Help maintain a positive experience for employees living in Big White staff accommodation by responding to questions and directing concerns appropriately. Physical Demands * Regular computer and telephone operation. * Ability to sit and/or stand for extended periods. * Occasional lifting and moving of boxes or supplies weighing up to 40 lbs. * Ability to move throughout staff accommodation units and surrounding areas when completing inspections. Accommodation: The Receptionist position requires the successful candidate to secure their own accommodation for the winter season.
