About This Role We are in search of a Legal Assistant to join our Family Law team and provide administrative and legal support to Lawyers and Paralegals. This role involves ensuring effective case management, document preparation, and client communication. The ideal candidate has excellent organization, attention to detail and communication skills, and is able to manage sensitive family matters with professionalism, empathy, and confidentiality. This is a fully in-office position reporting to the Business Operations Manager of the Family Law team. Though the work will be entirely in English, it is always considered an asset if candidates understand or can communicate in additional languages. Key Responsibilities Client Communication & Coordination: Act as a point of contact for clients, answer client inquiries, and provide updates in a timely and professional manner. Schedule appointments and coordinate mediation sessions, court appearances, and other related events. Document Preparation & Management: Draft, proofread, and file legal documents such as affidavits, court forms, correspondence, and financial disclosures. Process, organize, and manage Family Law documents. Maintain up-to-date and accurate paper and electronic files using a document management system. Workflow & Process: Maintain and update relevant schedules and calendars, tracking and ensuring deadlines are met for filings, hearings, mediations, etc. Complete work assignments as directed or assigned by the Business Operations Manager. Provide coverage for other Legal Assistants as required. Adapt to new duties as work processes and responsibilities change to improve client service and increase efficiency within the team. Administrative Support: Manage and update pre-bills in accordance with Lawyer/Paralegal instruction. Complete accounting-related tasks such as check requests and electronic funds transfer forms. Review, prioritize, and process incoming and outgoing correspondence, including mail, couriers, and faxes. Culture & Engagement: Participate in, and contribute to training initiatives within the practice area, including attendance of refresher seminars, workshops, and mentorship sessions. Support diversity, equity, inclusion, and reconciliation initiatives within the Firm. Contribute to the cultivation of a positive environment and promote respectful communication with internal and external stakeholders. What You Bring Experience: Graduate of a Legal Assistance or Paralegal program and minimum of 1-year experience in Family Law, or similarly structured practice area. Or equivalent combination of training and experience. Skills: Exceptional attention to detail and organization skills, with the ability to lead with empathy while communicating professionally and effectively. Mindset: A team player with a positive approach, self-motivation, and the ability to work independently.
