Position Overview We are looking for a bilingual Health Contract Coordinator to support the delivery and administration of multiple Health Services contracts and programs. This fully remote role will initially focus on broader contract coordination activities, including healthcare property management tasks, Task Authorization management, healthcare provider credential and compliance tracking, documentation, onboarding support, and other operational and administrative activities required to support contract delivery. While scheduling and healthcare provider coordination are also part of the broader Contract Coordinator function, this position will initially focus on supporting these other Health Services projects and contracts. The successful candidate will be cross-trained over time to provide scheduling support for CHSS contracts, including coordinating healthcare providers and responding to staffing needs as required. You will work closely with Operations Managers, Contract Managers, healthcare providers, internal Calian teams, and clients to ensure contract requirements, documentation, credentials, and operational activities are completed accurately and on time. This opportunity is well suited to someone who is highly organized, detail-oriented, responsive, and comfortable managing multiple priorities independently in a fast-paced environment. Responsibilities Use project management tools to receive, log, track, coordinate, and monitor Customer Task Authorizations and related contract documentation. Coordinate the review, preparation, submission, and reporting of Task Authorization documentation for customers and internal stakeholders. Review invoices for Supply Arrangement contracts against Task Authorization trackers and identify discrepancies for Contract Managers. Support healthcare property management and other administrative and operational activities across Health Services contracts and programs. Monitor healthcare provider credentials and security clearance compliance to ensure requirements remain active and up to date. Collect, track, and maintain required healthcare provider onboarding documentation, annual renewals, policies, and acknowledgements. Maintain accurate healthcare provider information, credentials, documentation, and user accounts within internal systems and databases. Work closely with internal teams, including Client Billing, Contract Administration, Human Resources, and other Divisional Services teams, to support contract documentation, administration, and reporting. Assist with timesheet verification and escalate unresolved discrepancies to the Contract Manager when required. Support the creation and maintenance of critical processes, protocols, trackers, and operational documentation. Use systems such as Makeshift, Nexi, Deskflow, and other tools to manage users, maintain information, complete quality assurance activities, and support operational requirements. Coordinate IT requirements for new direct hires, including email accounts and required hardware or software. Support travel bookings for healthcare providers on assignment in accordance with contractual requirements and assist with adjustments resulting from weather or schedule changes. As cross-training progresses, support CHSS staffing and scheduling activities, including healthcare provider availability, shift coverage, schedule changes, and other staffing requirements. Provide support across other Health Services contracts and operational activities as required. Qualifications College Diploma or University Degree in a related field, or equivalent experience. One to three years of experience in customer service, administration, contract coordination, project coordination, or a related environment. Experience working with contracts, documentation, compliance, task tracking, or administrative processes. Fluency in both English and French, written and spoken. Excellent organizational, customer service, written, and verbal communication skills. Strong attention to detail with the ability to gather, prioritize, track, and manage information accurately. Ability to interpret detailed processes, documentation, schedules, and operational requirements. Ability to think proactively, critically, and independently while making sound decisions. Proficiency with computerized information systems, Microsoft Office applications, internet-based tools, and electronic spreadsheets. Ability to work effectively and independently with limited direction in a fully remote environment. Experience with healthcare provider credentials, compliance, onboarding, or healthcare administration is an asset. Experience with project management tools, scheduling systems, Applicant Tracking Systems, Customer Relationship Management systems, or similar platforms is an asset. Previous staffing or scheduling coordination experience is an asset, as the successful candidate will be cross-trained to support CHSS scheduling activities. Additional Requirements Availability to work the schedule associated with the position, including evening and weekend coverage as required. The Health Services operation provides coverage 24 hours a day, 7 days a week, 365 days a year, and this position may provide cross-trained scheduling support as operational needs require. Ability to obtain and maintain PSPC Reliability Level 1 security clearance through Calian. Compensation $50,000 starting salary for full-time positions.
