Canadian Energy Services, the drilling fluids division of CES Energy Solutions, is looking for a self-motivated and organized individual to fill the full-time position of Sales & Events Assistant in located in Calgary, Alberta. The Sales & Events Assistant plays a critical support role within the Sales Support Team, ensuring seamless day-to-day operations and exceptional client service. This position provides administrative, logistical, and hospitality support to a fast-paced sales organization that operates around the clock in support of customer drilling activities. The successful candidate will assist with internal and external events, maintain hospitality services within the office, and provide responsive support to the sales team within and outside of traditional business hours. This role requires flexibility, strong organizational skills, professionalism, and a customer-focused approach. Duties and Responsibilities Sales Team support: Provide administrative and operational support to the Sales Team. Assist with preparation of presentations, meeting materials, proposals, and client correspondence. Coordinate travel arrangements, meeting schedules, and logistics for sales personnel. Monthly reconciliation of expenses for the Sales Team. Respond promptly to requests from sales team members, including after-hours and weekend support when required. Support urgent customer and sales team needs to help ensure uninterrupted service delivery. Event coordination: Assist with planning and coordinating company events, customer appreciation activities, meetings, and industry functions. Assist with event logistics including venue selection, catering, invitations, registrations, transportation, and event materials. Help coordinate client entertainment activities in compliance with company policies. Provide support with customer engagement events. Track event expenses and maintain budgets as assigned. Office hospitality and facility support: Maintain snack, beverage, and hospitality stations for employees and visitors. Monitor inventory levels and replenish snacks, beverages, and related supplies throughout the office. Coordinate ordering and delivery of hospitality supplies and catering services. Ensure common areas, meeting rooms, and client-facing spaces are organized and presentation-ready. Client service and relationship support: Welcome clients and visitors professionally at events and ensure a positive customer experience. Prepare hospitality arrangements for client meetings and events. Support relationship-building efforts through effective communication and attention to detail. Cover Reception on occasion, as needed. Administrative support: Process purchase orders, invoices, expense reports, and other administrative documentation. Maintain organized filing systems and company records. Support cross-functional coordination between sales, operations, and management teams. Complete special projects which may require research, as assigned. Work schedule and availability – the Sales Team supports customer operations that often extend beyond traditional office hours. As a result, the Sales & Events Assistant must be willing and able to: Provide support outside regular business hours when required. Work evenings, weekends, and overtime to support sales activities, customer events, and operational requirements. Respond to urgent requests in a timely manner. Maintain flexibility in scheduling and working hours to meet business demands. Qualifications High school diploma required; post-secondary education in Business Administration, Marketing, Hospitality, or a related field is preferred. Minimum 2 years of administrative, sales support, event coordination, or customer service experience. Experience within the energy industry is considered an asset. Skills & Competencies Exceptional organizational and multitasking abilities. Strong interpersonal and communication skills. Professional customer service and hospitality mindset. Ability to work independently and manage competing priorities. High attention to detail and accuracy. Ability to work accurately and calmly under tight deadlines. Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint. Ability to maintain confidentiality and exercise sound judgment. Flexibility and willingness to work non-traditional hours to support business needs. Delivers exceptional support to sales personnel and customers. Maintains a welcoming and professional office environment. Responds effectively to changing priorities and urgent business needs. Demonstrates reliability, adaptability, and a strong commitment to team success. Physical Requirements Ability to move and carry office and hospitality supplies weighing up to 50 lbs (23 kg). Ability to stand, walk, and move throughout the office to support meetings and events. Occasional travel may be required to support customer or company events.
