Job summary

CanGas and Pogo Propane is a propane supply, service and equipment company in Western Canada. We are currently seeking a detail-oriented and highly organized Administrative Analyst to join our team-growing team. The Administrative Analyst will play a key role in supporting the company's administrative functions, particularly by providing critical information to branch managers and ensuring accurate and timely invoicing to our customers. The ideal candidate will have strong analytical skills, a customer-focused attitude, and experience with administrative processes in an office setting. Duties and Responsibilities: Customer Invoicing: Prepare and process customer invoices accurately and in a timely manner. Ensure that all billing information is correct and complete, addressing any discrepancies that may arise. Data Management: Collect and maintain accurate customer and operational data. Generate reports to track billing, service usage, and customer accounts. Customer Support: Serve as a primary point of contact for customers regarding billing inquiries. Assist in resolving billing issues, answer customer questions, and ensure high levels of customer satisfaction. Information Provision: Work closely with internal teams (sales, operations, finance) to provide accurate and up-to-date information to clients. Assist in preparing reports and providing necessary data for decision-making. Process Improvement: Identify opportunities for streamlining administrative processes related to billing and customer data management. Assist in the development and implementation of best practices. Documentation and Record-Keeping: Maintain organized and up-to-date records of all invoicing and customer communication. Ensure compliance with company policies and regulatory requirements related to invoicing and documentation. Coordination and Communication: Coordinate with other departments to ensure that all required information is gathered and communicated effectively. Foster cross-departmental collaboration to support smooth operations. Qualifications: Minimum of 2-3 years of experience in an administrative or analytical role, preferably in a customer service or billing capacity. Strong proficiency with Microsoft Office Suite (Excel, Word, PowerPoint). Familiarity with billing software or ADD systems is a plus. Excellent organizational skills and the ability to manage multiple tasks and deadlines. Strong attention to detail and accuracy in data entry and analysis. Excellent communication skills, both written and verbal. Ability to solve problem-solve and resolve customer issues efficiently. Prior experience in the propane or utility industry is an advantage but not required.
