City Orthodontics & Pediatric Dentistry | Edmonton Area City Orthodontics & Pediatric Dentistry is looking for an experienced, organized, and patient-focused Financial Coordinator to join our growing specialty dental team. This position will primarily support one specialty — either Orthodontics or Pediatric Dentistry — based on the successful candidate’s experience, strengths, and the needs of the organization. The Financial Coordinator plays an important role in helping patients and families understand the financial side of their care while ensuring accurate billing, timely collections, effective insurance coordination, and strong accounts receivable management. Key Responsibilities Patient Billing & Financial Coordination Review treatment fees, payment arrangements, and financial policies with patients and families. Prepare and manage patient payment plans and account balances. Collect deposits, scheduled payments, and outstanding balances. Respond professionally to patient and parent questions regarding accounts, invoices, payments, and insurance coverage. Follow up on overdue patient accounts in a professional and respectful manner. Insurance Billing & Accounts Receivable Submit and manage insurance claims, predeterminations, estimates, and supporting documentation. Follow up on unpaid, delayed, rejected, or partially paid insurance claims. Monitor Accounts Receivable (AR) and proactively address outstanding balances. Review insurance payments and ensure payments are accurately allocated to patient accounts. Identify discrepancies and communicate with insurance companies, patients, and internal team members to resolve them. Maintain accurate financial documentation and account notes. Orthodontic Financial Coordination For candidates supporting our Orthodontic division, responsibilities may include: Setting up comprehensive orthodontic treatment contracts and payment plans. Coordinating insurance benefits throughout longer treatment timelines. Managing recurring monthly orthodontic payments. Monitoring treatment balances, insurance maximums, and outstanding patient accounts. Supporting financial discussions related to braces, Invisalign, early treatment, and other orthodontic services. Pediatric Dentistry Financial Coordination For candidates supporting our Pediatric Dentistry division, responsibilities may include: Managing insurance claims and patient portions for pediatric dental treatment. Coordinating financial arrangements for restorative treatment, sedation, and general anesthesia cases where applicable. Reviewing estimates and insurance coverage with parents and guardians. Ensuring outstanding balances and insurance claims are followed up promptly. What We Are Looking For The ideal candidate is: Highly organized and detail-oriented. Comfortable discussing financial matters with patients and families. Professional, confident, and compassionate in difficult financial conversations. Able to manage a high volume of accounts while maintaining accuracy. Proactive with collections and insurance follow-up. Strong in written and verbal communication. Comfortable working independently while collaborating closely with clinical, administrative, and management teams. Able to prioritize tasks and follow through consistently. Preferred Qualifications Previous experience in a dental office, orthodontic practice, pediatric dental practice, or healthcare billing environment. Experience with dental insurance billing and coordination of benefits. Experience managing patient accounts and Accounts Receivable. Familiarity with dental practice management software is an asset.
