NOTICE NO 9 POSTING: 2026.08.17 OFFICE AGENT PRINCIPAL CLASS (100%) TEMPORARY REPLACEMENT This temporary replacement full-time position is presently available at the ACCESS Center located at 4861, chemin de la Savane, Saint-Hubert QC, J3Y 9G1 NATURE OF WORK: The principal and customary work of an employee in this class of employment consists in organizing, coordinating and monitoring the procedures assigned to her/him. This class of employment also includes employees who perform principally, and customarily highly specialized work characterized by the complexity1, expertise2 and autonomy3 required. The agent will also be the communication channel between the department, the Educational Services, schools, agencies, and could be asked to communicate with host families and international students. CHARACTERISTIC FUNCTIONS: The primary function of the employee in this class of employment is to assist in the coordination and execution of registrations of international students, and the reception of necessary documents for the registration, following the proper procedure for youth and adults. The person will have to prepare and follow up with the CAQ documents, custodianship, and to help with the matching of the host families and students. At different time of the year, the agent will be asked to help to organize activities and accompany them at these outings. The employee will also have to support to recruit new host families, visit them and make them sign all the necessary documentation. Analyze the students’ and families’ profile to do the best match possible. In addition, the employee prepares the invoices of the international students and different finance tasks related to account receivables and payables The employee coordinates, verifies the work and gives his or her advice on the quality, ensures that deadlines are met; ensures staff training. The employee determines the work schedule in his or her sector according to the instructions received, reminds the persons concerned, in or outside the board, of deadlines. He or she carries out complex and specialized duties; finds, prepares and verifies data; prepares documents, statements and reports, including the entry of data that he or she must interpret, if necessary, and that he or she locates in or outside the board. The employee deals with the public or with employees concerning, in particular, the terms and conditions for payment or collection or any other matter within his or her competence. The employee makes suggestions and recommendations designed to improve the operations for which he or she is responsible. The employee uses a computer and the necessary software to perform his or her duties related to word processing, database entry, spreadsheets and in-house programs; he or she carries out research on the Internet; uses e-mail and specific software for International Students. He or she may be required to help, on occasion, colleagues with the common software and programs used. If need be, he or she performs any other related duty. REQUIRED QUALIFICATIONS: Hold a Diploma of Vocational Studies in a specialty appropriate for the class of employment, a Secondary School Diploma or a diploma or an attestation of studies recognized as equivalent by the competent authority and have six (6) years of pertinent experience. Knowledge of immigration and International Students is an asset. OTHER REQUIREMENTS: Have a thorough knowledge of office automation. Excellent knowledge of English and French, spoken and written. Understanding/Speaking of a 3rd language an asset. Strong collaboration and teamwork skills, flexibility, highly skilled in interpersonal interactions (including with teenagers). Excellent skills in Problem solving. Must be willing to attend professional development activities and be self-motivated towards lifelong learning. SCHEDULE: Monday to Friday from 8:00 am to 4:00 pm with one hour for lunch. SALARY: $927.85 to $1,135.4 per 35-hour week, according to qualifications and experience.
