Job summary

Overview We are seeking a highly organized and proactive Project Coordinator to serve as the central hub for product data integrity and project momentum. This role manages the full lifecycle of product specifications—from concept through discontinuation—while serving as the primary backup and strategic partner to the Project Manager. The ideal candidate ensures our product master database is flawless while simultaneously assisting in monitoring project timelines, identifying bottlenecks, and stepping in when the Project Manager is unavailable. Key Responsibilities Specification Lifecycle Management Manage product specification information from concept creation through to product discontinuation. Act as the "single source of truth" for technical data, ensuring all specifications are updated, accurate, and accessible. Coordinate and communicate product updates, revisions, and specification changes to all internal and external stakeholders. Product Master Data & Compliance Database Integrity: Maintain the product master database; create and manage product codes with rigorous documentation and traceability. Portals & Standards: Manage product entries in 1WorldSync and GS1, ensuring 100% compliance with global data standards. Project Management Support Support the Project Manager in prioritizing tasks across multiple active projects. Identify potential delays or risks early and escalate issues proactively. Track project timelines, milestones, deliverables, and dependencies to ensure projects remain on schedule. Follow up with internal departments and external partners to ensure action items are completed on time. Assist in project status meetings, capturing action items and ensuring accountability across teams. Serve as the primary point of contact for projects in the Project Manager’s absence. Cross-Functional Collaboration Partner with Sales, Operations, Quality, and Marketing to ensure data aligns with physical production and customer expectations. Draft and distribute new product notices and specification sheets to ensure smooth transitions for the production floor and sales team. Qualifications Education: Experience: 2+ years in product data management, specification writing, or project coordination—ideally within manufacturing, packaging, or CPG. Technical Savvy: Proficiency in 1WorldSync and GS1 is highly preferred. Tools: Advanced Microsoft Excel skills. Experience with Monday.com or similar PM software is a significant asset. Competencies Precision-Focused: An obsession with data accuracy; you catch the typos others miss. Adaptability: The ability to pivot from deep data entry to high-level project troubleshooting at a moment's notice. Sense of Urgency: A proactive mindset that anticipates delays before they happen. Communication: Clear, concise verbal and written skills for cross-functional alignment. Extended dental, health and vision coverage upon completion of 3 month probationary period. RRSP Program: Eligible to participate after 3-month probationary period. Quarterly Bonus: Eligible to participate after 3-month probationary period. Free on-site parking.
