Role Description: This is a hands-on role for someone who is confident discussing treatment, insurance, fees, and next steps with patients while taking ownership of key responsibilities that support an organized and efficient office. Strong performers may have opportunities over time to take on broader practice coordination and leadership responsibilities. Treatment Coordination and Patient Support Present treatment plans clearly and compassionately, helping patients understand their options, fees, and next steps Follow up on outstanding and unscheduled treatment and coordinate appointments to support timely completion Maintain accurate notes regarding treatment discussions, decisions, and patient follow-up Build patient confidence and help them feel comfortable moving forward with care Scheduling and Front-Office Coordination Manage and optimize dentist and hygiene schedules based on clinical needs, efficient patient flow, and appropriate use of provider time Proactively fill cancellations and other openings to maintain productive schedules Respond to patient calls and questions professionally Insurance, Billing, and Financial Administration Prepare treatment estimates and submit insurance predeterminations Submit and follow up on insurance claims Help patients understand their insurance benefits and financial responsibilities Process payments and patient account information Assist with daily reconciliation and routine front-office financial processes Practice Coordination Prepare for and lead daily morning huddles to review the schedule, patient needs, outstanding items, staffing requirements, and potential issues Optimize staffing and schedules when cancellations, illness, vacation, or other absences affect the day, including consolidating appointments and coordinating temporary coverage Schedule and participate in quarterly team meetings, including gathering agenda items and following up on agreed actions Coordinate annual CPR training and other required recertifications, including scheduling, attendance, and record-keeping Support supply ordering and other administrative coordination as assigned Qualifications: Has at least three years of dental administration experience, including treatment coordination or senior dental reception Is exceptionally organized and able to manage multiple priorities Has excellent verbal, written, and telephone communication skills and builds strong rapport with patients Has strong numerical skills and is comfortable working with estimates, balances, and reconciliations Handles confidential information with professionalism and discretion Enjoys learning new technology, systems, and processes Is looking for a stable, long-term position within a collaborative practice Dental Assistant education or previous clinical experience is an asset but not required.
