About the Role We’re looking for an organized, proactive, and detail-oriented Project and Office Administrator to support our London office and engineering project teams. Reporting to the Project and Office Administration Manager, you’ll be part of a five-person administrative team. Your work will combine day-to-day office administration with hands-on project support, helping our teams prepare quality documents, stay organized, and meet deadlines. This role is well suited to someone who enjoys variety, takes initiative, and works effectively both independently and collaboratively. What You Will Do Project and Document Support Prepare, format, proofread, and edit reports, contracts, presentations, and correspondence to meet Edison’s standards. Coordinate the issuance and distribution of project deliverables, including printing, binding, sending documents, and completing follow-up. Assist with project opening processes, including setting up files and preparing start-up documentation. Set up SharePoint groups for project and business sites and support ongoing file organization. Maintain organized project records and document control systems so information is accurate, current, and easy to retrieve. Help develop, maintain, and improve document templates and administrative processes. Work with project teams to coordinate administrative tasks and support timely completion of deliverables. Office Administration and Team Coordination Keep the London office organized, clean and tidy, well stocked, and running smoothly. Monitor and order office supplies, maintain asset records, and coordinate office repairs and maintenance. Receive deliveries, sign for packages, and coordinate outgoing mail and courier shipments. Handle phone calls and general inquiries professionally. Welcome clients, visitors, and vendors to the office and ensure a professional office experience. Coordinate calendars, schedules, meetings, lunch and learns, team activities, and company events. Plan and coordinate office and company events, including team activities, lunch and learns, and staff celebrations, managing logistics, scheduling, venues, catering, and vendor coordination as needed. Collaborate with the administrative team to provide support across offices as needed. Support broader administrative initiatives and complete other related duties as required. Occasional travel to other Edison offices and client sites, and to attend industry events and company functions as required. What You Bring Three to five years of relevant administrative experience, preferably in an engineering, architectural, construction, or professional services environment. A college diploma in administration or a related field is preferred. Strong proficiency in Microsoft Word, Excel, Outlook, Teams, and PowerPoint; advanced skills and SharePoint experience are assets. Excellent proofreading and document formatting skills, with close attention to detail ensuring accuracy and consistency. Strong organizational and time-management skills, including the ability to prioritize competing requests and deadlines. Clear, professional written and verbal communication. The ability to work independently, follow through on commitments, and contribute to a collaborative team. A proactive approach to solving problems, improving processes, and supporting others. A valid driver’s licence and access to reliable transportation are considered assets for occasional work-related travel.
