About This Role The Marketing and Communications Coordinator supports the implementation of digital communications and marketing tactics, contributes to the promotional activities for FCM’s Green Municipal Fund, and provides coordination support for the operations of the Marketing and Communications team. The Marketing and Communications Coordinator is primarily focused on supporting digital marketing and is responsible for coordinating our weekly e-newsletter content, overseeing editorial calendars, developing campaign reports and compiling digital analytics, and also provides coordination support for the team’s internal operations including travel booking, materials production, and coordination of procurement processes. The Marketing and Communications Coordinator coordinates work assignments with external suppliers, contributes to the development of web content, conducts regular analyses of email and web performance, and updates, sources and, in some cases, creates images for use in email newsletters and other digital channels. What You'll Be Doing Key Responsibilities Assists with the development and review of promotional materials and outputs, including digital and sponsored content, design assets, ad campaigns, social media and video. Coordinates, lays out and sends our weekly e-newsletter and marketing email campaigns, including coordinating editorial calendars, working with different departments to identify and schedule relevant content, overseeing quality assurance and tracking/analyzing analytics to measure performance. Coordinates work assignments with external suppliers, such as editors, graphic designers and translators. Establishes and manages production schedules to meet project timelines. Contributes to quality assurance across digital and print assets — by testing forms, landing pages, and reviewing emails; ensuring that all content is error-free and fixing errors when necessary. Develops and updates processes to optimize workflow and clarity of roles and responsibilities. Works closely with GMF Communications colleagues to ensure content is coordinated. Also acts as a back-up and takes on some of their work when volume dictates. Works with members of the Communications team to ensure efficient team operations: Coordinating procurement processes, prepares and tracks contracts throughout contract delivery, ensuring invoices are prepared and processed on time. Coordinates all travel and conference logistics for Communications staff. Prepares relevant materials and tracks expenditures in relation to travel and meeting logistics. Knowledge And Experience Post-secondary education in Communications, Marketing, Public Relations or a related field. Three years’ practical experience in a forward-facing communications or marketing communications role, including experience with producing digital promotional campaigns. Demonstrated capabilities in preparing various communications products and strong attention to detail, quality assurance and accuracy. Exceptional organizational skills, project management knowledge, ability to work independently with good initiative and judgment, ability to adapt to changing priorities and manage multiple tasks, and work to deadlines. Experience in analyzing and tracking digital data and the effectiveness of campaigns and strategies, including Google Analytics. Knowledge of web and social media, and digital communications best practices. Knowledge of graphic design programs (such as InDesign, Photoshop, Canva, etc.). Experience working with web content management systems (such as Drupal and WordPress) and digital asset management tools. Demonstrated experience working with an email marketing tool (such as Emma, 365Marketing or MailChimp) and knowledge of email marketing best practices. Familiarity with Web Content Accessibility Guidelines (WCAG) and Accessibility for Ontario with Disabilities (AODA) standards. Knowledge of the municipal context in Canada, sustainability, climate change and infrastructure considered a strong asset. Experience working with a customer relationship management database (such as Microsoft Dynamics CRM, Salesforce or similar) and maintaining and updating email subscription and marketing lists. Knowledge of graphic design programs (such as InDesign, Photoshop, Canva, etc.). Familiarity with Web Content Accessibility Guidelines (WCAG) and Accessibility for Ontario with Disabilities (AODA) standards. Proficient in Windows OS and MS Office suite programs with advanced knowledge of MS Excel and Power BI considered a strong asset Knowledge of OneNote, Adobe PDF, Asana, SharePoint, Zoom and MS Teams is considered an asset. Experience monitoring expenditures and/or budget tracking. Excellent organizational skills as well as ability to carry out multiple tasks simultaneously and set priorities in a fast-paced environment with conflicting priorities and tight deadlines. Strong interpersonal skills. High attention to detail. The ability to communicate and work in both official languages (written and spoken fluency in both English and French) is an asset. Exceptional English writing skills considered a strong asset. Specific Working Conditions & Requirements Hybrid from home location, typical office environment at FCM’s offices in Ottawa. Requires significant visual, and concentration efforts on a continual basis and prolonged periods of sitting. Domestic travel to conferences and events may be required 1-2 times per year. Ability to adapt to changing priorities and multi-task. Other duties needed to help drive GMF’s vision and fulfill our mandate.
