Role Description This is a full-time, on-site role for an Office Administrator located in Moncton, NB. The Office Administrator will oversee the daily operations of the office, ensuring everything runs smoothly and efficiently. Key responsibilities include managing office equipment, coordinating schedules, maintaining records, providing excellent client support and handling payments and invoices. The role will also involve supporting the legal team with office administration tasks to facilitate their workflows and maintain an organized environment. Qualifications Proficiency in Administrative Assistance and Office Administration tasks Familiarity with handling and operating Office Equipment such as copiers, scanners, and other tools Strong Communication skills for internal coordination and client interaction Exceptional Customer Service skills to provide a positive experience for clients Ability to work independently and maintain an organized workspace Detail-oriented with excellent time management and multitasking abilities Working knowledge of office management software and tools is a plus. ~ Our softwares include the Microsoft Office suite, Avaya Cloud, Soluno/ Action Step, and FileVine. ~ Experience with these programs are not required, but familiarity with these or similar softwares will be a great benefit to both our firm and your candidacy. Previous experience in the legal field or similar office environment is an asset Duties Handle incoming phone calls, emails and inquiries, providing excellent client support. Maintain and organize filing systems, ensuring all documents are accurately filed and easily accessible. Assist in managing office supplies and inventory, placing orders as necessary. Utilize our accounting software for basic bookkeeping tasks, including invoicing and payment processing. Perform clerical duties such as data entry, proofreading documents, and preparing reports. Coordinate appointments and schedules for staff members, ensuring optimal time management. Skills Strong organizational skills with attention to detail in managing files and documentation. Proficient in using phone systems for effective communication. Experience in a legal office setting is preferred but not required. Ability to learn quickly and handle pressure well. Excellent client support skills, demonstrating professionalism in all interactions. Ability to proofread documents for accuracy, clarity, and spelling.
