Role Description The Medical Office Assistant is a full-time, on-site role based at GIM Clinic in Guelph, ON. This position supports the daily operations of the clinic by greeting patients, answering phones, and managing appointment scheduling and confirmations. The Medical Office Assistant will verify patient information, assist with insurance and billing-related documentation, and maintain accurate electronic and paper records. Responsibilities include preparing charts, updating patient demographics, handling correspondence, and coordinating with clinicians to ensure smooth patient flow. The role also involves general administrative assistance such as managing incoming and outgoing mail, organizing files, and helping maintain a clean and orderly reception and workspace. Qualifications Strong phone etiquette and professional communication skills for interacting with patients, providers, and external partners. Experience with appointment scheduling and calendar management in a medical or similar office environment. Working knowledge of medical terminology and ability to accurately update charts and patient records. Familiarity with insurance verification, billing support, and handling patient documentation securely. Administrative assistance skills, including data entry, filing, document preparation, and basic office software proficiency. High attention to detail, reliability, and ability to manage multiple tasks in a fast-paced clinical setting. Strong interpersonal skills and a patient-focused approach, with the ability to work respectfully with diverse populations. Previous experience in a medical office or healthcare setting is preferred; completion of a Medical Office Administration program or similar training is an asset.
