The Granite Club is looking for a full-time contract Athletics Services to oversee the day-to-day operation and management of the Sports Desk and team. This position will be a fourteen-month contract with a possibility of extension. Their responsibilities are to be performed in addition to providing premier Member service and the provision of administrative support to various Athletics and Racquets departments. Primary Responsibilities Provide ongoing Granite Gold service to all Members, Guests, and Staff; Genuine Hospitality, Outstanding Attention to Detail, Listening and Anticipating Needs, and Dedication to Excellence Ensuring established Granite Club and Sports Desk standards are met, with correct procedures and administration. Responsible for tracking Member complaints, inquiries and relations with respect to the Athletics & Recreation and Racquets Divisions Ongoing public relations and contact with the Club membership Assist in collecting and organizing all required statistical data providing the information base for the Athletics & Recreation and Racquets Divisions in report form Participates in Athletics & Recreation and Racquets Division meetings and other Club Meetings as required. Administrative support to various Athletics & Recreation and Racquets departments as required Liaise with Finance concerning any Member queries (section cancellation, credits, discrepancies) Assist in the Annual Athlete Recognition Dinner Coordinate the annual events calendar for the Athletics & Recreation and Racquets Divisions Responsible for the scheduling of shifts, shift changes, vacation requests and payroll for the Sports Desk Athletics Coordinators. Ensures proper coverage based on seasonal demands, events, etc. Manage Sports Desk staff recruitment, training and discipline of staff Scheduling and organization of regular Sports Desk staff meetings. Liaise with the Facilities team regarding tennis court conditions and Athletics & Recreation and Racquets facility closures Ensure the Sports Desk training manual is kept up to date and communicated to the Sports Desk staff. Ensure all duties and responsibilities of the Sports Desk Athletic Coordinators are performed to departmental standards, while also personally performing all duties as they pertain to the Sports Desk: Greet all Members, answering the telephone, completing registrations and facility bookings Point of Sales for all Sports Desk transactions. Promote Athletics & Recreation and Racquets Social Events. Register and organize participants for programs in all athletic and racquets sections. Understand and provide information to the membership concerning the rules and regulations as they pertain to all athletic and racquets sections. Provide information about programs, camps, and clinics concerning any course prerequisites and/or level of play required to participate. Assist Members in online booking NorthStar System responsibilities: Take a supporting role with the Assistant Director of Athletics in the Activities, Events and RPOS Modules Activity Setup and adding employee and trainers schedules Activities, Activity Areas, Booking Rules, Email/Templates, Area Rates, Override times, Block Times, Rainouts, Message Centre, Usage reporting Event Types, Events, Billings, Email/Templates Assist Finance in ensuring daily and month-end duties are completed in a timely manner Troubleshooting any issues that arise with Members and Staff having issues with activity areas and events Assist the Athletics Manager with preparation of the seasonal Activity & Sport Programming Guide (registration date, times, codes, etc.) Provide excellent Member service experience for Club Members and guests. Perform other duties as required. Required Qualifications Bachelor’s Degree in Business, Recreation or equivalent in education, training and experience required A minimum of two to three years of management experience in a similar role required Working knowledge of Athletics and Racquets Division sections and facilities Demonstrates strong and effective planning, organizational and leadership skills Excellent Member relations, ability to solve problems with finesse. Excellent verbal and written skills required Proven ability to work under minimal supervision as well as within a team environment Current First Aid and CPR certifications recommended Working proficiency in Microsoft Office. Experience in event registration software and ability to learn event management software, such as NorthStar Compensation The salary range for this position is $60,000 to $69,000.
